Feature Request: Uploading Signed Registration Cards to Guest Reservations

Hi SNT Team,

I wanted to reach out with a feature request or to see if there is an existing functionality we may not be utilizing. Currently, our team has guests sign a physical registration card upon check-in. We’re wondering if there is a way—or if a feature can be implemented—that would allow us to upload the signed registration card directly to that specific guest reservation.

This would be incredibly helpful in moving toward a more paperless process and would also allow us to quickly retrieve signed registration cards from past stays when needed, particularly for chargeback disputes or guest inquiries.

If this is possible, we’d appreciate any guidance on how to set this up. If not currently available, we’d love to submit this as a feature enhancement for consideration.

Hi Cristian,

Happy to help! You can handle this one of two ways:

  • Configure a Google Drive account which would allow you to enable file saving on reservations, guest cards, company, and travel agent cards - and then upload a scanned copy of the registration card to the reservation.
  • Move to a more digital process of handling the registration card using touchscreen monitors / iPads.
    • We already support collecting the signature digitally during the check in process (the guest can accept terms and conditions as well). Hotels typically do this by:
    • We have a new feature currently in pilot (so not available to all hotels yet, but will be in the near future) for a truly digital registration card which includes spots where the guest can review/fill in required contact information. You can learn more about that here - please open a support ticket if you are interested in using this feature.
      • We anticipate hotels will use one of the above described options to have the guest fill in the details, agree to terms, and sign - or, we are working on an enhancement that will allow users to send the digital registration card to a guest facing Kiosk (iPad).

Guest signatures that are collected directly in Stayntouch are stored on the Stay Card forever - so you can easily pull it up when fighting a chargeback dispute or for a guest inquiry.
