
Stayntouch Menu Options
You will find the following menu options in Stayntouch PMS:
FRONT DESK
We will begin by navigating to Front Desk.
By choosing Search Reservations from the Front Desk menu, it will take us to our reservation search screen.
The second option is Create Reservation, which brings us to our rate query screen.
The third option under Front Desk is Room Diary. All rooms in the property will be displayed on the lefthand side of the Room Diary and will show housekeeping status, along with corresponding reservations on the righthand side. These reservations are color-coded by reservation status, while the room numbers are color-coded by housekeeping status.
Below Room Diary, you'll see the Post Charges option. This allows users to post charges directly to a guest, a room, or a company or travel agent card without having to first find and open the record.
The next option is Cashier, which is where users come at the end of their shifts to close their cashier.
Next, under Guests, you can search, modify, or merge guest cards.
Below Guests is Accounts. This is a list of all our group and house accounts.
And lastly, End of Day will show yesterday's processes log.
GROUPS
Select Group and then New Group to create a new group.
Click on Manage Groups to view existing groups.
Similar to the groups functionality, by selecting New Allotment, you can create a new allotment. When you select Manage Allotment, all existing allotments will show.
REVENUE MANAGEMENT
Under the Revenue Management tab, the first option is Rate Manager, where you can select a date range and a particular rate or room type and start working on restrictions and price point changes for that particular rate.
In Company & TA Cards, you can search for company and travel agent cards, make adjustments, and merge cards when necessary.
Next, select Sell Limits. Sell limits provide the ability to overbook your property by room type or by hotel. Please note, this functionality needs to be enabled for your location and needs to be done in consideration with any third party reservation systems the property may be using.
Now, we'll move to Events. The purpose of events is to display information on key screens to indicate what is happening in and around the hotel.
If enabled for your property, you'll see the Rate Strategy option in the navigation bar. Rate Strategy will automatically update rate price or availability based on occupancy. This particular feature is at an additional cost and requires activation. It should not be used if your property is already integrated with a Revenue Management System. Contact support to find out more.
HOUSEKEEPING
Under the Housekeeping menu option, the first option is Room Status. This is where you can change the housekeeping and service status of your room inventory.
The second option is Task Management, where work sheets can be created and managed.
FINANCIALS
Under Financials, the first option is the Journal. This is a dynamic on-screen report, where the finance team can take a look at all the transactions that have happened for a specific date range.
The next option is CC Transactions, where payments and authorizations for credit cards are recorded, which can be searched for by date, as well.
Accounts Receivables lists all of your A/R accounts, which can be managed from this screen.
Under Commissions, it is possible to view, edit, and export commission records that are owed or have been paid to travel agents based on your configuration.
Select Invoice Search from the menu. This provides the ability to search for invoices by invoice number, folio number, or confirmation. This is particularly helpful if a large list of invoices needs to be emailed to a client.
If auto charge is enabled, the Auto Charge menu option will display here. Any deposits Stayntouch PMS has charged will be listed here, showing either a successful or declined transaction.
Currency Exchange allows you to update the various currency exchange rates for hotels that support or accept multiple currencies.
The last option under Financials is Budgets. Here, hotels can manage their budgets and forecasts by market segment or charge code.
ACTIONS
Under the Actions menu option is the Actions Manager. Here, we see items marked for completion today, for all departments. These can be reviewed, edited, and printed.
REPORTS
The last module is Reports, with the first option being New Report. From here, you can search and run any of the shown report options.
The Reports Inbox keeps track of the reports generated for your accounts.
This inbox is not shared and only tracks reports you have generated for today and the previous three days.
Lastly, a report or export can be scheduled, or a custom export can be created via this option.
