
Stayntouch Guest Mobilty: Dynamic Email Templates
To configure Dynamic Email Templates for Stayntouch Guest Mobility, navigate to Settings > Guest Mobility > Dynamic Email Templates.
Select General Email Settings to edit the design for all templates.
From here, click the BACKGROUND COLOR field to adjust the color.
All colors for the design of the template can be updated here.
Click the BUTTON BACKGROUND field to modify its color.
Once all the colors are set, you can select PREVIEW at the bottom of the page to see what the email template will look like.
The logo pulls from Settings > Hotel & Staff > Hotel Details. All colors, such as the button, we just adjusted above.
At the bottom of the email, you can find additional information about the hotel; this also pulls from Settings > Hotel & Staff > Hotel Details. The phone number, privacy policy, and terms & conditions can be edited back in these general email settings.
Close the PREVIEW modal to return to the General E-mail Settings page.
On the right side of the screen, you can enter the links from your property's website and the hotel's phone number. Once this is done, be sure to click SAVE CHANGES.
Click the BACK button to go back to the Dynamic Email Templates screen.
To edit the text for all emails, select Pre-Checkin Email to edit the email that can be sent the day before arrival.
Enter the E-MAIL SUBJECT.
Type the message in the E-MAIL TOP PORTION TEXT field.
Enter the text you would like to see for the button in the E-MAIL BUTTON TEXT field.
Enter the text for the bottom portion of the email template in the E-MAIL BOTTOM PORTION TEXT field.
Click the PREVIEW button to view the email template.
In the modal, review the email template preview.
Click SAVE CHANGES to apply the updates.
Click the BACK button to return to the Dynamic Email Templates page.
Click Check-In Email to edit the email that can be sent on the day of arrival.
Once all edits have been made to the subject, top portion, button text, and bottom portion, click the PREVIEW button.
View the preview of the check-in email in the modal.
Click SAVE CHANGES and then BACK to continue editing the other emails.
Next, click Check-Out Email to edit the email that can be sent on the day of check-out.
Once again, the text for the subject, top portion, button text, and bottom portion of the email can be edited. After this, click the PREVIEW button.
View the preview of the check-out email template.
Click SAVE CHANGES and then BACK to return to the previous page.
Select Late Check-Out Email if your property has upsells for late check-out enabled.
Again, all text fields can be edited and inspected by selecting the PREVIEW button.
Check in the preview if everything is set up as expected.
Click SAVE CHANGES to update the settings.
Click BACK to return to the previous page.
Next, click Text - Key Delivery Email; this email will be sent if auto check-in is enabled, and the reservation has been checked in by the PMS.
Enter the text for the E-MAIL TOP PORTION TEXT.
For the key delivery email, it is important to ensure instructions are written down for the guest explaining where they can pick up their room key.
Click PREVIEW to view the email template.
Review the email preview displayed in the modal.
Click SAVE CHANGES to apply the updates.
Click the BACK button.
Lastly, if your property is working with an app for hotel keys, select Key Delivery Common.
Enable SHOW MOBILE APPS to show the logos for mobile keys in the key delivery email.
If this is not the case for your property, it can stay disabled.
