Confirmation & Cancellation Letters


To set up confirmation and cancellation letters, navigate to Settings > Hotel & Staff > Stationery > Confirmations/Cancellations.


In the navigation bar, click on "Hotel & Staff."


Select "Stationery" from the options.


In the Stationery section, click on "Confirmations / Cancellations."


Choose General Confirmations/Cancellations Settings.


Choose "General Confirmations / Cancellations Settings."


If you use Stayntouch Pay, you will be able to send payment links to guest. Here, you can determine how they show on the confirmation emails.

Click on Guest Confirmation to expand the section.


Click on "Guest Confirmation" to expand the section.


In the SETTINGS - EMAIL section, the SHOW HOTEL PICTURE option will show the image uploaded in General Settings above.


In the settings email section, the "Show Hotel Picture" option will show the image uploaded in the general setting above.


Select the HOTEL LOGO dropdown to choose the desired logo image if you want to add this image next to the HOTEL PICTURE.


Select the "Hotel Logo" dropdown to choose the desired logo image if you want to add this image next to the "Hotel Picture".


Set the LOGO BACKGROUND color to the specified color code. This will only show if the HOTEL PICTURE and the HOTEL LOGO do not fill up the space completely.


Set the "Logo Background" color to the specified color code. This will only show in case the Hotel Picture and the Hotel Logo do not fill up the space completely.


In the SETTINGS - LETTER section, toggle on PRINT CONFIRMATION LETTER. This shows an option to PRINT next to the SEND EMAIL button when sending a confirmation.


In the settings panel, toggle the "Print Confirmation Letter". This shows an option to "PRINT" next to the SEND EMAIL button when sending a confirmation.


In the SETTINGS - LETTER section, toggle on SEND CONFIRMATION LETTER to be able to send a confirmation email when finished making a reservation.

In the SETTINGS - LETTER section, toggle on CUSTOM TEXT PER RESERVATION if you want to allow staff to add a personal note to a confirmation email before sending. This creates a text block with the subject as a header and could be used to confirm special requests, such as parking or restaurant reservations.


In the settings panel, toggle the "Custom Text Per Reservation" switch ON in case you want to allow staff to add a personal note to a confirmation email before sending. In the SETTINGS - APP & SOCIAL NETWORKS section, toggle on SHOW LINKS TO DOWNLOAD APP if you want to promote a specific app.

In the SETTINGS - APP & SOCIAL NETWORKS panel, toggle on SHOW SOCIAL NETWORKS to add your social media pages.


In the settings panel, toggle the "Show Social Networks" switch On to allow you to add your social media pages.


In the form, click Confirmation Email to expand the section.


In the form, click on "Confirmation Email" to expand the section.


Enter the CONFIRMATION EMAIL SUBJECT in the text box.


Enter the subject for the confirmation email in the highlighted text box.


Toggle on COPY HOTEL ON CONFIRMATION if you want to have a copy of all confirmations sent.


Toggle the switch to enable "Copy Hotel on Confirmation" if you want to have a copy of all confirmations sent.


Click Confirmation Letter to expand the section.


Click on "Confirmation Letter" to expand the section.


Here, you can enter the text to show in the body of the confirmation. You can use HTML code here to make your text look nicer, and optionally include the Stayntouch Guest Mobility check-in link.


Here you can write your text showing in the body of the confirmation. It is possible to use HTML coding here to make your text look nicer and optionally to include the 'guestmobility checkin link'.


Click the Hotel section to expand it.


Click on the "Hotel" section to expand it.


Enter the details under GETTING TO THE HOTEL to add directions on how to get to the hotel.


Enter the details under "Getting to the Hotel" to add directions how to get to the Hotel.


Click the Location section to expand it.


Click on the "Location" section to expand it.


From here, click CHOOSE FILE to upload an image.


In the "Location" section, click "Choose File" to upload an image.


Enter the LOCATION URL and LOCATION URL LABEL in the provided fields.


Enter the location URL and label in the provided fields.


Click the Social Network section to expand it.


Click on the "Social Network" section to expand it.


In the expanded Social Network section, view the list of social media links.

Click the Guest Cancellation section to expand it.


Click on the "Guest Cancellation" section to expand it.


In the expanded Guest Cancellation section, view the Cancellation Email settings.



Enter the CANCELLATION EMAIL SUBJECT in the highlighted field.


Enter the subject for the cancellation email in the highlighted field.


Type the CANCELLATION EMAIL BODY content for the cancellation email in the designated area.



Adjust the settings for sending and printing the cancellation letter.

Fill in the CANCELLATION LETTER BODY content in the provided text box.



Click Group Confirmation to expand the section.


Click on "Group Confirmation" to expand the section.


Enter the CONFIRMATION EMAIL SUBJECT.


Enter the subject for the confirmation email.


Select the HOLD STATUS from the dropdown menu.


Select the "Hold Status" from the dropdown menu.


Choose a hold status from the dropdown options. You can add text for every hold status. This will show accordingly when sending group confirmations.
