
Reservation Settings
To configure reservation settings, navigate to Settings > Reservations > Reservation Settings.
The max number of adults, children, infants, and rooms corresponds with the reservation creation screen. This determines up to what number we can search for.
The number set in reservation settings then appears as illustrated below during reservation creation.
When the user clicks FIND ROOMS & RATES, we can see the availability.
This can be shown by rate, meaning the rate shows first, and then the user opens the rate to see the room types.
Or room type can be the default, meaning the user would see the room types first and then the available rates.
To determine the default rate display, this is selected from Settings > Reservations > Reservation Settings.
Either set this as By Rate or By Room Type.
The first option is CC AUTHORIZATION AT CHECK-IN. The options are either No Authorization or Entire Stay. This means if there is an open balance the system will authorize for this amount, plus any additional value set.
If a customer wants to extend their stay, it is possible to do an automatic authorization for the extension.
CC TOP UP AUTHORIZATION RULE requires credit card authorization if there is an outstanding balance. You will be asked to select either Remaining Balance (to require credit card authorization for what's left of the outstanding balance) or No Authorization (credit card authorization will not be required).
CC AUTHORIZATION FOR INCIDENTALS ONLY requires credit card authorization for incidental charges during check-in. This option is used mainly for reservations with routed charges, where we still want to collect a certain hold for the guest's bill.
HOURLY RESERVATIONS enables Hourly reservations at your hotel. If you want to work with the Hourly model, you can activate this with an installer. It's very easy to enable, but very difficult to reverse the functionality.
ADD-ONS FOR RESERVATIONS is activated automatically and allows add-ons to be attached to reservations.
ITEM INVENTORY gives the opportunity to provide inventory for add-ons.
SUITE ROOMS would be enabled for properties that are working with two rooms that, for example, turn into a suite when sold together. If you are looking to use this functionality, please discuss this with an installer.
SELL LIMITS provide the ability to overbook your property by room type.
When the ALLOW CHECK-IN TO NOT READY ROOMS toggle is activated, the user will be presented with a READY/NOT READY popup upon checking in a not ready room.
To store registration cards at check-out, toggle on STORE REGISTRATION CARD AT CHECK-OUT.
If you have Google Drive or Dropbox enabled, you can use the toggle for ARCHIVE REGISTRATION CARDS AS PDF.
ENABLE QUEUE ROOMS will activate the queue tile on the dashboard, giving the front desk the opportunity to differentiate between new arrivals and guests who have already tried to check in, but their room was not ready yet.
SKIP KEY CREATION FOR QUEUED ROOMS will allow you to skip key creation when placing a room in queue. When enabled, the user will be prompted to create a key when checking the reservation into the system, rather than when placing in queue.
COMMISSIONS can be used to track reservations that are commissionable, as well as the amount that would need to be paid. This module is informational only.
Commissions by Agent gives a hotel the option to enable the commission toggle on a travel agent card. Commissions by Rate will assist with rate codes that are commissionable and charge codes the percentage should be calculated over. The default percentage for both can be filled in once activated.
When Set for new cards is activated, any time a new Travel Agent card is created, the commission toggle will be toggled on by default.
If DISABLE CC SWIPE AT CHECK-IN is selected, credit card swipe at check-in will not be required.
If DISABLE TERMS AND CONDITIONS AT CHECK-IN is selected, during the check-in flow, a checkbox will appear for the customer to agree with the Terms & Conditions. If your computer does not face the customer, this should be disabled.
By selecting DISABLE EMAIL/PHONE DIALOGUE, both will not be mandatory fields during check-in.
DISABLE EARLY DEPARTURE PENALTY will ensure no penalty for early departures.
DISABLE RESERVATION POSTING CONTROL ensures that even if there is no credit card on file, integrations can post room charges to a reservation. Be careful with disabling this.
It is also possible to ensure certain information has to be filled in on a reservation. It is possible to FORCE SOURCE CODE.
You can also force reservation type, market code, origin of booking, and segment.
By enabling FORCE RATE ADJUSTMENT REASON, it will be mandatory to provide a reason when adjusting a rate on a reservation.
It is also possible to force nationality and country to be filled in during the check-in, which is a legal requirement for certain countries.
If a property is using purpose of stay, this information can be forced, as well.
With SHOW OVERBOOKING ALERT enabled, the user will receive a popup warning for overbooking. We do not recommend turning this off.
The RESTRICT PAYMENT TYPES functionality allows hotels to enforce stricter financial controls during the check-in process.
When RESTRICT PAYMENT TYPES is enabled, set up your payment methods:
- Restricted Payment Types: Payment methods that will trigger check-in restrictions unless override permission is granted.
- Non-Restricted Payment Types: No check-in validation needed.
Click SAVE CHANGES when everything has been set up accordingly for your property.
