Night Audit Reports Setup & Review
To set up automated night audit reporting for your property, begin by navigating to Reports > Schedule a Report/Export > Scheduled Reports.
Under Scheduled Reports, you can create a new report schedule by selecting the NEW REPORT SCHEDULE button in the top righthand corner.
Here, you'll see a list of all available reports to choose from and schedule. We will begin by looking at the Cancellation & No Show Report.
As an example, here we are including only no show reservations to make this a No Show Report.
Different reports will come in different formats, and you can choose whichever is best for your purposes.
Click the SCHEDULE DETAILS button to proceed to the next step.
For most reports, we want to choose Run During End Of Day as our repeat format.
Next, click DISTRIBUTION LIST.
Select the delivery method for the report from the dropdown menu in the Distribution List section.
In this example, we want this to be emailed. Next, we'll click the ADD RECIPIENT field.
In the ADD RECIPIENT field, you can enter a full email address and hit enter on your keyboard to have it saved. You can also begin typing in the name of an existing user within the system, and then hit enter to select that user's email. More than one email address can be entered if required.
Moving forward, we will select some of the other most commonly used reports for night audit reporting.
The Comparison Report gives a managerial overview of the performance of the property for the day.
The Complimentary Rooms Report shows complementary rooms from the previous date.
Other useful reports include Daily Production by Rate Report…
The Daily Transactions Report...
The Financial Transactions Adjustment Report…
The Forecast Report (shows the forecast for the selected date range)…
The In-House Guests Report (can be delivered by room)...
The Occupancy & Revenue Summary Report…
The Rate Adjustment Report...
The Rooms Out Of Order/Out Of Service Report...
Moving back to the list of scheduled reports, users with permission may also click on Scheduled Exports in the navigation bar to manage scheduled exports.
Much like a scheduled report, begin by clicking the NEW EXPORT SCHEDULE button to create a new export schedule.
Any scheduled exports that might be useful for you can be scheduled in the same way as scheduled reports.
Custom Exports is the third option for users.
Press the NEW EXPORT button in the top right corner to see which data tables are available.
Based on your needs, you can create a filtered export to be scheduled when most useful.
For a quick review of payments and transactions, remember that Financials > Journal can be a good option, too.
You can also further filter from the REVENUE tab of the Journal...
...as well as from the PAYMENTS tab.
Here, we see one Direct Bill payment for today.
If you need more details, you can select the orange hyperlinked confirmation number or account number.
