[NEW!] iHotelier/TravelClick: Support Deposit Payment As Financial Transaction

For customers currently taking deposit payments on TravelClick, we now have the ability to transfer the payment as an offline payment transaction straight to the Bill & Charges screen on Stayntouch PMS, rather than transmitting it via Notes. This will save the users the manual effort of posting each transaction manually. Any additions or changes in “Modify” messages will be ignored. To receive these payments in Stayntouch PMS, configuration is required. Please contact Customer Support if you'd like to activate this feature.

Credit Cards

The property needs to set up offline payment methods for the deposit payment types.

The following credit card types are supported:

To avoid duplicate payment processing, payments already processed in TravelClick CRS should be marked as Credit Card and flagged as Offline in Stayntouch PMS. This prevents them from being sent to a payment provider again.

We recommend setting these payments as Web Payments Only, since they come from an external system. This ensures Stayntouch PMS users cannot use the same method for any other postings, helping to keep external system payments separate from those entered in Stayntouch.

Mapping Of Deposit Payment Methods

We've added a new option in Settings > Integrations > Utilities > External Mappings to map offline credit cards to iHotelier/TravelClick card types. Please refer to the list at the top of this article for the supported credit card types. All processable payment methods will now be hidden from the SNT VALUE list.

Default Deposit Payment Method

We've added a new setting under Settings > Integrations > Central Reservation System > iHotelier for the DEFAULT DEPOSIT PAYMENT METHOD.

Since PayPal and IDEAL are only sent as notes in the reservation message, all payments made through these methods will be posted using the DEFAULT DEPOSIT PAYMENT METHOD. We recommend setting up a new payment type for this purpose, making it easier to track payments posted to the default method. This should be defined similarly to cash, as credit card details are not sent with IDEAL or PayPal. All processable payment methods will be hidden from the list.

Deposit Rules

The deposit rule in Stayntouch PMS should not be set for payment at the time of booking with the Instant Payment flag. The full or remaining amount cannot be charged to offline cards, PayPal, or IDEAL.

Payment Method In Stay Card

The payment method on the stay card will now reflect the payment type used for the deposit, if paid by credit card. Please note, the credit card displayed will be shown as XXXX with the expiry date and cannot be used for future transactions. A new credit card must be added to process any future authorizations or transactions.

If the payment was made via PayPal or IDEAL, the payment method will be based on the DEFAULT PAYMENT METHOD set in Settings > Integrations > Central Reservation System > iHotelier.
