[NEW!] Support For Party Reservations
Stayntouch PMS now supports party reservations. Please note, this functionality must be enabled by Stayntouch Administrator. Please contact Customer Support to have this enabled for your property.
CREATE PARTY RESERVATIONS
If this functionality is enabled for a property, when a reservation with 2 or more rooms is created and is not attached to a group or allotment, and a guest card is attached to the reservation, the following will apply:
- A party will automatically be created.
- A party code will automatically be created.
- The party code uses the same format as group codes.
- The party date range FROM date corresponds with the reservation arrival date.
- The party date range TO date corresponds with the reservation departure date.
- The part contact name will default to the name on the reservation.
- The party contact number will default to the number on the reservation (if present).
- The party contact email will default to the email on the reservation (if present).
- The party name will display on the reservation confirmation page.
- The party will display on the reservations’ stay card ASSOCIATED WITH section.
- The party will be attached to the reservation stay card.
ADD EXISTING PARTY TO RESERVATION
You can also add an existing party to a reservation when creating a new reservation. The COMPANY/TA/GROUP field on the reservation creation screen has been changed to COMPANY/TA/GROUP/PARTY, allowing users to attach an existing party to a new reservation.
Users can search for any party using the party name or party code, if the party FROM/TO dates match any of the reservation’s stay dates.
Please note the following:
- Users cannot add a group or allotment to a reservation if a party is attached, and vice versa.
- The reservation flow is the same as when a reservation does not have a group or allotment attached.
- Users can select any available rate.
- Validation is not completed for a party for rooms/rates during the reservation process.
- The party name is displayed on the reservation summary page.
- The party is shown on the reservations’ stay card ASSOCIATED WITH section.
- The party is attached to the reservation stay card.
ADD PARTY TO EXISTING RESERVATION
You can attach a party to an existing reservation by opening the new party card section on the stay card, searching for a party, and attaching a party whose party dates fall within the reservation’s stay dates.
Please note the following:
- If the reservation arrival or departure date is outside of the FROM/TO date range, the party FROM/TO date range will automatically update to include the reservation dates.
- No changes will be made to the reservation’s rate when attaching a party card.
- The party is shown on the reservations’ stay card ASSOCIATED WITH section.
- The party is attached to the reservation stay card.
- Party dates are updated if reservation dates are updated.
VIEW PARTY FROM STAY CARD
If a reservation has a party attached, please note the following:
- Users can expand to view the party summary.
- Users can edit the party name.
- Users cannot edit the party code.
- Users can edit the contact’s first name, last name, phone, and email.
- Users can detach a party from a reservation.
- Changes can be made to the party regardless of reservation status or stay dates.
ROOM DIARY SEARCH
You can search for party reservations from Front Desk > Room Diary. Please note the following:
- Party has been added as a search criteria in the room diaryRoom Diary search.
- A party icon will be added to reservations in the Room Diary if a party is present.
- An allotment icon will be added to reservations in the Room Diary if an allotment is present.
- A group icon will be added to reservations in the Room Diary if a group is present.
