We'd like to call out a very exciting new item that has been long-awaited and will make many of our customers happy:

  • You can now create frequently used actions as a template! Once created, you can add those pre-configured actions to a reservation.
  • From the stay card Guest Bill and house/group accounts, you can now filter by charge code! Once filtered, the selected charges can be moved in bulk to a different bill or account, saving the user valuable time.
  • Users for all hotels can now be created centrally from one single place within Multi-Property Configuration > People > Create Account.
  • Users with Multi-Property access can now select an available room from any hotel in a chain for a given date and will automatically be routed to reservation creation at the other hotel for that date!

Actions


1. Action Configuration: You can now create, edit, and delete actions that can be added to the list of pre-configured actions from Settings > Reservations > Actions. To add an action, click + ADD NEW and configure the following:

  • ACTION TEXT (Required): Name the action.
  • ACTION DUE DATE (Required): Select to make the action due on the Arrival Date, Departure Date, or Today.
  • DEPARTMENT (Optional): Select a department.
  • ACTION DUE TIME (Optional): Select an action due time (shown in 15-minute increments).





2. Add Pre-Configured Actions From The Stay Card: You can now add pre-configured actions to a reservation. From the stay card, you’ll now see a list of pre-configured actions when adding an action from the stay card. Pre-configured action texts are listed with the department, if configured. If no pre-configured actions are active, the Actions Manager will remain the same as before.

3. Reservations & Accounts: Parent/Child Transactions Grouped In All Bills: All charges with an exclusive tax (parent/child relationship) will now display together in bill windows. The display of all other charges will remain the same.



4. Charge Code Filter: House & Group Accounts: From Front Desk > Accounts, you can now filter house and group accounts by a charge code. Moreover, the filtered charge codes together with their linked charges will display in the bill if the INCLUDE ALL LINKED CHARGES checkbox is selected. When the INCLUDE ALL LINKED CHARGES checkbox is deselected, the return result will only return the charge codes selected in the charge code filter. When a bill has multiple charge dates, the filter will search for all dates within the bill selected where the search is performed.




5. Charge Code Filter: Reservation Bills: From the stay card Guest Bill, you can now filter by a charge code. Moreover, the filtered charge codes together with their linked charges will display in the bill if the INCLUDE ALL LINKED CHARGES checkbox is selected. When the INCLUDE ALL LINKED CHARGES checkbox is deselected, the return result will only return the charge codes selected in the charge code filter. 




Rates


6. “Copy From” Rates Not Listed Within “Based On” Rates List: When creating a rate that is based on another rate, only “based on” rates will be displayed from the rate list—not “copy from” rates.



7. Restriction Against Resyncing Same Rate Multiple Times: From Settings > Hotel & Staff > Tools > Resync Rates, users are now unable to resync the same rate multiple times while the sync is in progress.




8. Webhooks Triggered For New Rates: Newly created rates on a rate/room type with an existing restriction will inherit the restriction, even when hierarchy restrictions are not enabled. All restrictions are sent to applicable integrations.


Multi-Property Configuration


9. Multi-Property Configuration: Work Type Templates: Multi-Property users can configure work type templates from Configuration > Rooms > Task Management by toggling from the Task List view to the Work Types view, and then clicking Create template.



10. Multi-Property Configuration: Task Management Templates: Multi-Property users can configure task management templates from Configuration > Rooms > Task Management.



11. Multi-Property Configuration: Maintenance Reasons Templates: Multi-Property users can configure maintenance reason templates from Configuration > Rooms > Maintenance Reasons.



12. Multi-Property Configuration: Create Users: Multi-Property users can create new users from Configuration > People > Create Account.



13. Multi-Property Availability: Create Reservations Across Hotels In A Chain: Users with Multi-Property access can now select an available room from another hotel in a chain for a given date and will automatically be routed to reservation creation at the other hotel for that date.





Actions

Action Configuration


You can now create, edit, and delete actions that can be added to the list of pre-configured actions from Settings > Reservations > Actions. To add an action, click + ADD NEW and configure the following:

Add Pre-Configured Actions From The Stay Card


You can now add pre-configured actions to a reservation. From the stay card, you’ll now see a list of pre-configured actions when adding an action from the stay card. Pre-configured action texts are listed with the department, if configured. If no pre-configured actions are active, the Actions Manager will remain the same as before.


You can also choose OR POST A NEW ACTION, and if selected, you’ll be directed to the post an action screen with no pre-configured actions. You can navigate back to the pre-configured actions list by selecting OR PICK A PRE-CONFIGURED ONE.


To exit the actions popup window, select CANCEL.







When choosing a pre-configured action, please note the following:

  • When selected, you’ll be directed to the post an action popup window.
  • Department, if configured, is automatically selected.
    • You can edit the department.
  • Due date is selected based on the action setting.
    • If the due date is in the past, today’s date will be selected.
    • You can edit the due date.
  • If due time is selected, time is automatically changed.
    • You can edit due time.
  • If due time is not selected, current time, to the next 15 minutes, is selected.
  • An action note is automatically added.
    • You can edit an action note.
  • You can post an action to the stay card.

Rates

“Copy From” Rates Not Listed Within “Based On” Rates List


When creating a rate that is based on another rate, only “based on” rates will be displayed from the rate list—not “copy from” rates.

Multi-Property Configuration

Multi-Property Configuration: Work Type Templates


Multi-Property users can configure work type templates from Configuration > Rooms > Task Management by toggling from the Task List view to the Work Types view, and then clicking Create template.






Simply enter a work type name and click the green checkmark.



To activate the work type template, turn ON the toggle under the ACTIVE column.




You can search by work type templates from the search bar above the templates.



Multi-Property Configuration: Task Management Templates


Multi-Property users can configure task management templates from Configuration > Rooms > Task Management.




Upon selecting Create template, you will be prompted to configure the following:

  • Name (Required)
  • Work Type (Required)
  • Reservation Status
  • Room Status
  • Front Office Status
  • Room Types: Select the applicable room types and indicate the Completion time (either by room type or for all room types) as well as the Housekeeping Status when the task is completed.
  • Interval:Select from the following options:
    • Weekdays
    • Weekend
    • Custom: Either By Day or By Stay Date.
  • Properties: Select the properties to which to apply this template.








To create the template, simply click Create Task Template. This will prompt you with the message, “Send To Properties. If Task Departure Clean exists in selected properties, entry will be skipped.” Click Activate template to proceed or Cancel to discard the template.



The template will then be created, and you can select the checkbox to the left of the template to apply the template to the chain.





You can search by task templates from the search bar above the templates.


Multi-Property Configuration: Maintenance Reasons Templates


Multi-Property users can configure maintenance reason templates from Configuration > Rooms > Maintenance Reasons.




To create a maintenance reason template, click Create template.



You’ll then be prompted to configure the following:

  • Name (Required)
  • Code (Required)
  • Who can use this template?
    • All properties: All properties will be able to use the template.
    • Selected properties: Selected properties will be able to use the template.




To create the template, click Create Maintenance Reason Template. You will then be prompted with the following message: 


“This is what will happen next in properties

  1. First, we'll check each property to make sure they have a maintenance reason called [maintenance name]. We'll create it in properties that don't have it.
  2. If maintenance reason [maintenance name] exists, we'll merge and override template fields.”


You can either select Continue to create the template or Cancel to discard the template.



If you select Continue, the template will then be created, and you can select the checkbox to the left of the template to apply the template to the chain.


You can search by maintenance reason templates from the search bar above the templates.

Multi-Property Configuration: Create Users


Multi-Property users can create new users from Configuration > People > Create Account.




From here, you will be prompted to enter the following information:

  • First Name (Required)
  • Last Name (Required)
  • Job Title (Required)
  • Phone Number (Not Required)
  • Photo (Not Required)
  • Status: Turn ON the Account Active toggle to activate the account.
  • Email (Required)
  • Confirm Email (Required)
  • Password (Required)
  • Confirm Password (Required)
  • They can access:
    • All properties: The user will be able to access all properties.
    • Selected properties: The user will be able to access the properties selected. When you select a property, you will be prompted to select a user role for that property.







Once this information is entered, click Save my changes to create the user.


Items to Note:

  • Home hotel can be identified in the PMS.
  • Home hotel is the default hotel if the user role does not have the Multi-Property Dashboard permission,
  • The new user is created in the PMS.
  • The new user is active in the PMS.
  • The new user can log in once created and active.
