How To Find A Historic Transaction By Amount
To easily find a historic transaction by its amount (be it a debit/posting or a settlement/credit), we recommend navigating to Financials > Journal.
On the SUMMARY, REVENUE, and PAYMENTS tabs, users with access can select the Amount option from the SEARCH FOR dropdown to search for that posting from the highlighted dates.
Please note, the SUMMARY tab is good to search both postings and settlements, the REVENUE tab is only postings, and the PAYMENTS tab is only settlements.
In this example, we will use the common scenario of a customer contacting the hotel to ask what they were charged for (generally, this is something to the effect of, "I see my credit card was charged X amount on X date"). In this example, we will search for the amount of 81.21, and to narrow the results, we are focusing on the PAYMENTS tab. You can further narrow down by payment type, and so on, to refund numerous results.
Next, enter a date range where transaction may be found (be as broad as needed), and then click the tab in the top center of the screen [1].
Next, select Amount from the SEARCH FOR dropdown [2].
Here, we entered the incorrect amount and see no results. There is no need to hit enter, as the screen searches dynamically.
In this example, we see one record for the amount entered (our example amount).
If we expand this out further, we can now see the confirmation number in orange. Confirmation or account numbers that are in orange are clickable hyperlinks [3] that will take you to the bill directly.
This is how the same type of link looks for an account:
From here, you can see the transaction and return to Financials > Journal when ready [4].
