How To Send Confirmation Letters
STAYNTOUCH PMS RESERVATIONS
For reservations created in Stayntouch PMS, navigate to Settings > Hotel & Staff > Stationery > Confirmations/Cancellations > Guest Confirmation and enable the SEND CONFIRMATION LETTER toggle. This will automatically trigger confirmation letters for reservations created via Stayntouch PMS.
CRS RESERVATIONS
For reservations created via a CRS, the CRS will directly send confirmation letters to the guests—Stayntouch PMS does not control these confirmation letters.
STAYNTOUCH IBE RESERVATIONS
For reservations created via Stayntouch IBE, confirmation letters will be sent directly from the IBE. The confirmation letters will be set up by your Stayntouch consultant at the time of onboarding.
HOW TO RESEND CONFIRMATION LETTERS
If confirmation emails are enabled for your property, you can resend a confirmation email by retrieving a reservation and opening the stay card for that reservation. On the bottom right of the stay card, you'll see the CONFIRMATION button. Click this to resend a confirmation email. Upon doing so, a RESERVATION CONFIRMATION window will appear. Any emails associated with the stay card will display, and an email can be sent at this point.
Should more than one recipient be required, you can add an additional email from the BOOKER EMAIL field under ADDITIONAL DETAILS. Once entered, select the CONFIRMATION button again, and you will see both emails listed. You can select one, both, or neither.
Furthermore, if the CUSTOM TEXT PER RESERVATION option has been enabled from Settings > Hotel & Staff > Stationery > Confirmations/Cancellations > Guest Confirmation, you can also switch the EMAIL TYPE from DEFAULT to CUSTOM and enter a custom SUBJECT and CONTENT.
