ⓘ We'd like to call out a few special items that have been long-awaited and will make many of our customers happy:

  • You can now configure a generic bundle for add-ons and applicable taxes to be shown as a single line item on the Guest Bill/folio.
  • We now support group shared notes. Group shared notes allow users to create a note from the Notes section of the group Summary tab and have the note added to all reservations under the group.

Add-On Bundle & Add-On Tax Bundle

 

You can now configure a generic bundle for add-ons and applicable taxes to be shown as a single line item on the Guest Bill/folio by enabling the ENABLE BUNDLE WITH PRICE toggle from Settings > Rates > Rate & Add-On Settings. From here, you can also enable Add-On Bundle and Add-On Tax Bundle and enter a DESCRIPTION and DESCRIPTION TRANSLATION (where applicable) for each, which is what will appear on the Guest Bill/folio.



 

Items to Note:

  • Add-On Bundle and Add-On Tax Bundle are not dependent on each other.
  • The ENABLE BUNDLE WITH PRICE toggle can be activated when Add-On Bundle is enabled.
  • Add-On Bundle cannot be deactivated when the ENABLE BUNDLE WITH PRICE toggle is activated.
  • The ENABLE BUNDLE WITH PRICE toggle cannot be deactivated when there are active rates with ENABLE BUNDLE WITH PRICE activated.
  • When Add-On Bundle is enabled and ENABLE BUNDLE WITH PRICE is NOT activated, the Add-On Bundle is NOT implemented.
  • When Add-On Bundle is enabled and ENABLE BUNDLE WITH PRICE is activated, the add-on and room rate are displayed as a single line item with the Add-On BundleDESCRIPTION on the Guest Bill/folio.
  • When Add-On Tax Bundle is enabled, add-on taxes and room taxes will be displayed on the Guest Bill/folio as a single line item with the Add-On Tax BundleDESCRIPTION on the Guest Bill/folio.
  • Bundles also work with allowances.

 

Once the ENABLE BUNDLE WITH PRICE, Add-On Bundle, and Add-On Tax Bundle toggles are enabled, when you navigate to Settings > Rates > Rates > Select Rate > Rate Details > ADD-ONS, there is now the option to Bundle with price. The Bundle with price checkbox is only applicable to Add to price add-ons, because Include in price add-ons have their breakage already, so they’re not displayed on the Guest Bill/folio.



Please note, If the DISPLAY RATE NAME ON BILL/FOLIO toggle is enabled from Settings > Rates > Rates > Select Rate > Rate Details, that will override the DESCRIPTION added for Add-On Bundle and Add-On Tax Bundle. The add-ons will still show as a bundle, but the bundle will display the rate name in that event.



When the Bundle with price option is selected, the Guest Bill/folio will show the total price of the add-on plus the rate (you can click the downward-facing arrows on the Guest Bill to view the add-on price and rate price separately). The breakage would show the add-on price and rate price separately from Financials > Journal.






Please note, the only invoice that will reflect add-on bundles is the Detailed Bill. Bundles will display on both print and email invoices.





In the event a user wants to show the charges broken out separately, we recommend printing or emailing the ProForma Invoice, as this invoice will pull from future transactions.



Group Shared Notes

 

Group shared notes allow users to create a note from the Notes section of the group Summary tab and have the note added to all reservations under the group. A group note can be marked as POST TO ALL GROUP MEMBERS. When a group note is marked as POST TO ALL GROUP MEMBERS, the note will be visible from the stay card note section of the reservations associated with the group.



 

The note will be posted from the Notes section of the group Summary tab. The note will have an indicator if the note was shared, reading, POSTED TO GROUP MEMBERS.


 

When shared to stay cards, group notes can be viewed on all of the stay cards of reservations within the group. The note will be marked as a group note on the stay card, indicating that the note originated from the group.

 

When a group reservation is created, Stayntouch PMS will check to see if the group has any shared notes, and Stayntouch PMS will automatically add the shared note to the guest’s stay card as a group note. Users cannot edit or delete the group note from the stay card.



If a note is deleted or edited from the Notes section of the group Summary tab, then the note will be updated on all the stay cards to which it has been shared.

 

If a user edits the shared note and deselects the POST TO ALL GROUP MEMBERS checkbox, then the note will no longer be shared with or visible from any stay card in the group. Any stay card that was displaying the note will no longer display the group note.




If a reservation is removed from a group, then the stay card will no longer display any shared notes from the group.



Group note sharing will be recorded in the group Activity Log.


Group Note Action Type Recorded In Group Activity Log

 

The following group note action types are now recorded in the group Activity Log:

  • The action “Edit Note” will be added to the group Activity Log when a group note is edited.
  • The action “Create Note” will be added to the group Activity Log when a group note is created.
  • The action “Delete Note” will be added to the group Activity Log when a group note is deleted.
  • An “Is Shared” marker has been added to the group Activity Log. “Is Shared” will be recorded as “Yes” when the group note is shared to the stay card, or it will be recorded as “No” if the group note has not been shared to the stay card.

 






Product Enhancements

Refund Credit Card Transactions From The Guest Bill


To refund credit card transactions from the Guest Bill, simply click the purple pencil button next to the a transaction and click REFUND.


Language, Title, Works At, & Opt In Fields Added To Guest Card Settings

 

We’ve added the following guest card fields to Settings > Cards > Guest Cards:

  • Language
  • Title
  • Works At
  • Opt In


 

When the VISIBLE toggle is enabled for these guest card fields, they will be visible on the guest card. Moreover, when the MANDATORY toggle is enabled for these guest card fields, they will be mandatory to fill in on the guest card field.


Stayntouch IBE Enhancements

 

We’ve made the following additional enhancements to Stayntouch IBE:

  1. Calendar Widget Updates: You can now host a calendar widget on your site and select your preferred language from those enabled in Stayntouch IBE. Additionally, we have added a theme change feature for better customization.
  2. Translation Feature: We have added translation features for add-ons, room types, and rate plans.
  3. [COMING SOON!] Show Only Publicly Available Rates By Default: We have introduced a feature that displays only public rates in the IBE by default.
