We'd like to call out a few special items that have been long-awaited and will make many of our customers happy:

  • With the addition of the copy reservation functionality, it will save users time previously spent manually recreating the same reservation.
  • We now support virtual card handling, which allows users to automatically route charges to a secondary billing window and attach the correct billing entity, alleviating the need to manually update each reservation that uses virtual card billing.
  • For hotels with a Delphi integration, when Delphi sends an update to a group that has an extra adult price set, the price will no longer be overridden and will stay as is.
  • Instead of using the market code from the default rate code, Stayntouch PMS now checks if there is a market code on the group when a CRS inserts a reservation attached to a group with a custom rate.


PRODUCT ENHANCEMENTS

Display All Available Rooms When Updating Room For Guest From Group Rooming List

 

When updating the room for a guest from Groups > Manage Groups > Select Group > Rooming List, we now show all available rooms to be assigned for the reservation. A scroll bar is also visible when scrolling through the list of available rooms—if the list of available rooms is greater than 12. If the list of available rooms is 12 or fewer, all of the rooms will be shown without the need to scroll.





Additional Filters Added To The Group Rooming List

 

We’ve added the following filters to the group Rooming List tab:

  • ROOM TYPE: Defaults to all (users can select one or multiple room types).
  • OCCUPANCY: Defaults to all (users can select one or multiple occupancy types).
  • RESERVATION STATUS: Defaults to all (users can select one or multiple group statuses).
  • UNASSIGNED ONLY: Shows unassigned reservations only.
  • PENDING ONLY: Shows pending reservations only.

 



Please note, you’ll notice that the EXCLUDE CANCELLED option has been removed as a filter, as CANCELLED is now an option within the RESERVATION STATUS filter.


 

When you click the filter button to view these new filters, you will see the options to RESET FILTERS and APPLY FILTERS


 

You’ll also be able to see how many filters are applied. The number of filters applied is updated once the user chooses to apply the filters. These filters will apply to the print and CSV export versions of the Rooming List.


Allowance Type Charge Codes Removed From List of Charge Codes That Can Be Linked to a Billing Group

 

We’ve hidden charge codes set up with a type of allowance, allowance loss, or unused allowance from the list of charge codes that can be linked to a billing group from Settings > Financials > Billing Groups.


A/R Summary Report Exportable Via CSV

 

When the A/R Summary Report is generated from Reports > New Report > A/R Summary Report, it can now be exported via CSV from Reports > Reports Inbox.





A/R Summary Report Added to Scheduled Reports

 

The A/R Summary Report can now be scheduled from Reports > Schedule a Report/Export > Scheduled Reports > + NEW REPORT SCHEDULE. From the Schedule Parameters column, you’ll see the option to select a FILE FORMAT of CSV. When CSV is selected, you can then choose to select INCLUDE CSV HEADER




EFSTA Improvements

 

We’ve optimized the fiskalization of EFSTA financial transactions to align to the latest TSE requirements.

Copy Reservation Functionality

 

We now support the option to copy a reservation. To copy a reservation, navigate to the stay card and click the COPY RESERVATION from the bottom right corner. Upon clicking the button, you will be able to select an ARRIVAL and DEPARTURE date to which to copy the reservation. Once complete, click CONFIRM. You will then be prompted to pay any deposit required and confirm the reservation (see Confirmation Summary section below). 

 

Items to Note:

  • Group/allotment reservations cannot be copied. 
  • You can copy a reservation if it is associated with a Company or Travel Agent; however, Travel Agents will NOT copy over to a new reservation, since the reservation is technically originating from the hotel and not a Travel Agent.




No Availability

 

If there is no availability for a room, rate, or add-on for a copied reservation, the user can either select CANCEL and go back or override (depending on the user’s permissions).

 

If there is no availability for the room, the PMS will check the user's permission for overbooking and give the option to go back to the original reservation or overbook and create the new reservation. If the user does not have overbooking permission, the PMS will only show the option to go back.

 

If there is a restriction on the rate, then the PMS will check the user permissions to see if they can override restricted rates. If the user has the permission to override restricted rates, then the PMS will give the option to proceed with the reservation or go back. If the user does not have the permission to override restricted rates, the PMS will only show the option to go back.

 

If a rate or room type is not configured for the stay dates, then one of the following popup messages will display:

  • Check Rate Availability
    • If a rate is not configured for the stay dates, then the user will receive the following error message: “Rate is not configured for dates selected.”

 

 

  • Check Rate Restrictions
    • If a rate is restricted, then the user will receive the following error message: “Rate not available for selected dates.”
    • If the user has permission to override the restriction, they can resubmit the request and choose to override, or they can select CANCEL.
  • Check Room Type Availability
    • If a room type is not available, then the user will receive the following error message: “Room type not available for selected date.”
    • If the user has permission to overbook, they can resubmit the request and choose to overbook, or they can select CANCEL.

 

Confirmation Summary

 

When a copied reservation’s availability checks have been completed, and there is availability for the new reservation, the user will be directed to the Guest Details & Payment screen for the new reservation.


 

From this screen, if the original reservation had demographics selected, then the demographics field should be pre-populated with the information from the original reservation.


 

If a deposit is required for the reservation, the guest will be prompted to pay the deposit on this screen, as well.


 

The payment type will be pre-populated with the same payment type as the original reservation. If the original reservation had a credit card attached, that credit card will be pre-populated in all appropriate fields.


 

The STAY CARD (back) button on this screen will direct the user back to the original reservation.


 

When the user clicks CONTINUE, the user will be directed to the email confirmation screen and will be able to follow the same flow as a traditional reservation.


 

The email should be pre-populated, if present on the original reservation/guest card.


 

When the user then clicks CONFIRM RESERVATION, the confirmation email will be sent. As with the traditional reservation creation flow, the user will then see the options to GO TO STAY CARD, NEW RESERVATION FOR GUEST, or SEARCH RESERVATIONS.




Virtual Credit Card Handling

 

We’ve added a new ADD VIRTUAL CARD button to Company and Travel Agent Cards from Revenue Management > Company & TA Cards > Select Company/Travel Agent Card > ADD BILLING INFORMATION > + NEW PAYMENT METHOD





Upon selecting the ADD VIRTUAL CARD button, the user will be required to enter a VIRTUAL CARD HOLDER NAME. The VIRTUAL CARD HOLDER NAME is a free format text field with a maximum of 255 characters (special characters are allowed) and may consist of the following examples:

  • Booking.com Card
  • ExpediaCollect Card




If an invalid name is entered, the user will receive an error message stating, “Name on card must be less than 256 characters.”

 

Once the user enters the VIRTUAL CARD HOLDER NAME, they can either click ADD VIRTUAL CARD or CANCEL. The ADD VIRTUAL CARD button will be disabled until the user enters at least one character. If the virtual card is added, it will be displayed under the PAYMENT field of the saved default routing information.




Please note, this is not a payment type, but an additional card that will be saved with no credit card logic. This only allows the name on the card to be saved (free text). This field can be edited in case future updates need to be made.

 

When a reservation is sent from any external system or Internet Booking Engine (IBE), and the virtual card that is attached to the reservation that’s being sent from the external system or IBE matches the name on the virtual card that you’ve saved on the Company or Travel Agent Card, then the PMS will apply the default billing instructions as per the normal functionality and then add the physical credit card that was sent with the reservation as the method of payment on the bill to which it’s routed. The PMS will then default the reservation’s default method of payment to cash. This will eliminate the need for manually routing each reservation that contains a virtual card as a payment method.

Rate Editor

 

We have implemented a Rate Editor from Revenue Management > Rate Manager. To access the Rate Editor, click the left-facing chevron arrows next to a rate in the Rate Manager to pull up that rate and begin editing. 


 

You’ll then see a purple button at the top of the screen that says PRESS ⌘ + E FOR RATE EDITOR (for Mac) or PRESS CTRL + E FOR RATE EDITOR (for PC). You can either use your keyboard to enter that function, or you can click the purple button. 


 

This will open a new screen that you can navigate through using the arrow keys on your keyboard or a mouse. By default, the top left cell will be selected when this screen is opened. The current cell and the appropriate date and room type will be highlighted. 


 

You can only update one cell at a time. When you’ve entered a new value in a cell, you can click the tab key on your keyboard to move horizontally to the next cell, or you can use the arrow keys on your keyboard to navigate up and down or left and right. Leaving the cell will automatically save the updated value.




Users can navigate and change values using a keyboard. Here is an overview of how to use your keyboard to navigate through the Rate Editor:

  1. Pressing tab or moves you one cell to the right.
  2. Pressing shift + tab or moves you one cell to the left.
  3. Pressing return or moves you to the same cell in the row below.
  4. Pressing shift+ return or ↑ moves you to the same cell in the row above.
  5. Pressing esc or the CLOSE EDITOR button closes the Rate Editor.
  6. Pressing ⌘ + ? (for Mac) or CTRL + ? (for PC) opens keyboard shortcuts. You can also click the gray button that says ⌘? OPEN KEYBOARD SHORTCUTS (for Mac) or CTRL? OPEN KEYBOARD SHORTCUTS (for PC) to pull up a list of keyboard shortcuts.



Delphi: Values in Extra Adult Price Field on a Group Will Not Be Overridden

 

For hotels with a Delphi integration, when Delphi sends an update to a group that has an extra adult price set, the price will no longer be overridden and will stay as is.

All CRS: Market Code Taken From Group When CRS Books From Group With Custom Rate

 

Instead of using the market code from the default rate code, Stayntouch PMS now checks if there is a market code on the group when a CRS inserts a reservation attached to a group with a custom rate.
