Auto Charge

OVERVIEW

 

Stayntouch PMS provides the option to configure deposit policies for reservations, with the option to collect it automatically at End of Day (EOD). This is subject to certain conditions.

HOW IT WORKS

 

For every night audit, if the AUTO CHARGE DEPOSIT setting is turned ON for the hotel from Settings > Hotel & Staff > Settings & Parameters > Auto Charge, the EOD routine will collect the configured deposit amount for reservations with a deposit rule due on that day.


 

In order for AUTO CHARGE DEPOSIT to work, the reservation should have a valid credit card attached with it. The action will be recorded in the Activity Log. Failed attempts will be tried again with the next day’s EOD routine (if they are not collected manually before then).

CONFIGURATION

 

Deposit rules can be configured in Settings > Rates > Rules & Restrictions > Rules > Deposit Requests and can be charged manually and automatically.



REPORTS

 

There is an option to access AUTO CHARGE DEPOSIT reservation information from Financials > Auto Charge.


 


From here, auto charge reservations will be organized by RESERVATION, ARRIVAL DATE, CARD DETAILS, STAY COST, and DEPOSIT PAID. This page can be used as a report to view historical AUTO CHARGE DEPOSIT reservations and can be used as a processor for current records. Failed transactions can be re-attempted from this screen after changing the credit card on file.

 


From here, you can sort by PROCESS DATE and STATUS which includes ALL DEPOSIT RESERVATIONS, APPROVED TRANSACTIONS, or DECLINED TRANSACTIONS.








You can also print a list of auto charge deposits by clicking the printer button.

 



You can also pull up an individual reservation by clicking the arrow (>>) button to the right of the reservation.

 


If you’re viewing auto charge reservations for the current date (please note this is supported for the current date only), you can process one or more reservations either by selecting the checkbox to the left of the reservation or selecting the checkbox above all reservations to select all reservations. You’ll then notice that a PROCESS SELECTED button appears. Click this to process the selected reservations. 




The EOD CHECK OUT tab shows reservations that were checked out by the EOD process with their successful or declined settlements. You can also choose to sort by a PROCESS DATE here.
