To update the housekeeping status of a room or rooms, navigate to Housekeeping > Room Status. From this screen, you will see a list of all rooms in the property and their current housekeeping status.
SEARCH PARAMETERS & FILTERS
From the top of the Room Status screen, you’ll see options to refresh the screen, filter rooms (which is discussed in detail later), search by room number, switch from ROOM to TASK view, or print the Room Status screen. Please note, when switching from ROOM to TASK view, rooms will show what needs to be completed, as long as tasks have been assigned to housekeepers from Housekeeping > Task Management.
ROOM STATUS AT A GLANCE
The Room Status screen also keeps track of rooms with guests that are due-in, in-house, due-out, or checked-out. This will be indicated as illustrated in the screenshots below.
EDIT ROOM STATUS
You can modify the status by selecting a room and navigating to the WORK tab. Here, you can select statuses from a dropdown list, and upon selection, this will update the status in the system.
EDIT SERVICE STATUS
You can also set a room to In Service, Out of Order, or Out of Service from Housekeeping > Room Status > Select Room > ROOM Tab. A room is typically set to Out of Order (OOO) when it is being renovated, undergoing repairs, or cannot be used. A room is usually set to Out of Service (OOS) when it is undergoing short term maintenance. Whereas OOS rooms are not deducted from inventory and will show as a valid room to be sold, OOO rooms are deducted from inventory and cannot be sold.
For OOO and OOS rooms, you will be required to select a date range for which it will be OOO/OOS (after which it will automatically return to In Service), a ROOM RETURN STATUS (the status the room will be returned to when it is back In Service), a REASON the room is OOO/OOS, and optional COMMENTS. You’ll then need to click the UPDATE button to place it OOO/OOS. The room will then appear as OOO/OOS (and for how long) on the Room Status screen.
QUICK EDIT/EDIT MULTIPLE ROOMS
It is also possible to update the status of a room by selecting the checkbox to the left of the room number and then the purple pencil icon, as shown below. This will give you the option to select the room status to which you'd like to change that room.
You can also select multiple rooms at one time by selecting more than one checkbox and then the purple pencil icon. The status indicated will update all rooms selected.
If you wish to update all rooms displayed on the screen, you can do so by selecting the checkbox on the top left of the screen and then the purple pencil icon. You can then update the room status for those rooms as illustrated above.
APPLY FILTERS
To filter or change the list of rooms shown, select the filter icon on the top left of the screen. You can then select the desired statuses you wish to display, and then select APPLY. The filtered rooms will then display.
GUEST DETAILS
Please note, from the GUEST tab in Housekeeping > Room Status > Select Room > Room Details, you can see both the primary guest and accompanying guest details. Both the primary and accompanying guest details include the guest name and guest avatar.
MOBILE VIEW
Finally, one of the many convenient aspects of the Room Status screen is that it adjusts to mobile view, so Housekeeping staff can log into the PMS on their mobile phone to check and complete their tasks on the go.
