Accounts


From Front Desk > Accounts, you can view all group and house accounts for your hotel. Accounts will be listed by name and will show the account number, associated Company or Travel Agent Cards, the BALANCE, and the STATUS.



 

If you use the search bar at the top of the screen, you can search by account name or code. You can also sort by ACCOUNT TYPE, which includes ALL, Group, or House, or ACCOUNT STATUS, which includes All Accounts, Open, or Closed. Furthermore, you can select the Non-Zero Balance checkbox, which excludes all accounts with a zero balance.








 

If you want to create a new account, select the + ADD NEW button at the top right corner of the screen. When creating a new account, you will be required to enter, at the minimum, the account NAME before clicking SAVE ACCOUNT.

 



 

Once you save the account, an ACCOUNT NUMBER will automatically generate. You can also choose an ACCOUNT TYPE of either House or Group




 

You can also link a Company or Travel Agent Card to the account from the top just above the Summary tab. 






 

Once you’ve linked a Company or Travel Agent Card to the account, you’ll see a blue button for the Company Card and/or a purple button for the Travel Agent Card. These buttons will take you directly to the Company or Travel Agent Card.




 

Furthermore, you can choose to enable OPEN NEW BILL AFTER EOD, which will open a new bill for the account after End of Day.



By clicking the DEMOGRAPHICS button, you can choose to add demographic information to the account, which includes MARKET, SOURCE, and ORIGIN OF BOOKING.



 

From the Balance/Status section, you can view the account BALANCE and select a STATUS of either Open or Closed. By clicking on the BALANCE DETAILS button, you can view detailed balance information for the account and even pay a deposit on the account.

 




 

Under the Notes section, you can view or add any notes to the account.

 

 

Moving onto the Transactions tab, you’ll see transactions that correspond with the account. All revenue for the account will be posted here, and you can post any additional revenue by clicking the ADD CHARGE button. For example, we'll add charges for bottled water, add a REFERENCE & DESCRIPTION if desired, choose to SHOW REFERENCE ON GUEST INVOICE, and select POST CHARGE to add the charge to the Transactions tab.

 





 

You can open multiple bills by clicking the button next to the BILL #1 tab, and you can select the green wallet button to pay any outstanding charges.

 






 

Finally, if you click into the Activity Log tab, you'll see every single activity that has been performed for the account since the moment it was created. You can also print the Activity Log by clicking the blue printer button.

 


 

If you click into an existing account, you’ll see exactly the same tabs and information covered for creating a new account; however, this information will likely be more extensive depending on how old the account is.
