Sell Limits
Sell limits provide the ability to overbook your property by room type or by hotel. Before setting up sell limits, first navigate to the Availability screen to view availability for a certain date or date range. If you look at your available rooms by room type, you can check which rooms are available/not available and when.
Next, we’ll discuss how to overbook by room type, or how to set sell limits for room type. If you go to create a reservation for a specific room type (in this example, Junior Suite) on March 16, you can see there’s no availability for this room type, because the hotel is sold out for that particular room type on March 16.
But now, if you navigate to Revenue Management > Sell Limits, you can select the date you want to take a look at (in this example, March 16), and you’ll see that 0 rooms are available for the Junior Suite on March 16. However, if you click into the room type for March 16, set a value of 3, and click SET LIMIT, this will allow you to overbook your room type by 3 rooms. Now, if you go to create a reservation for a Junior Suite room type, you’ll see that you have 3 rooms available.
If you take a look at the Availability screen again, however, you’ll still see that on March 16, the Junior Suite room type has an availability of 0. If you click the INCLUDE SELL LIMITS checkbox, however, the availability for the Junior Suite room type on March 16 will show as 3, because you’re including sell limits.
Additionally, you’ll see a new bar that shows at the top of the screen for SELL LIMITS, and if you expand that, you’ll see 3 sell limits for the Junior Suite room type on March 16.
The next thing we’ll demonstrate is how to set sell limits for dates that you are currently sold out. If you take a look at the Availability screen for the hotel below, you’ll see that on March 16 this hotel is 100% sold out for all room types.
If you go back to Revenue Management > Sell Limits and take a look at March 16, you can start by setting the Park View King sell limit to 3.
However, if you try to create a reservation for March 16 for a Park View King room type, you’ll see that the room type is still not available. That is because the hotel itself is sold out, and you cannot overbook the hotel, as the house limit (or hotel limit) will override any sell limits that you set on the room type.
So now, if you go back into Revenue Management > Sell Limits and set a HOUSE ROOMS & LIMIT of 2 for March 16, and you try to create another reservation, selecting All Room Types, you’ll see that you have the ability to book a Junior Suite and Park View King, because as you might recall, we set a sell limit for both room types. For both room types, you’ll see that 3 rooms are available; however, because the house limit is only set to 2, you can only book 2 of these rooms regardless of what the availability is telling you here.
Now, if you go back to the Availability screen and choose to INCLUDE SELL LIMITS, you can see that there are 2 rooms to sell for March 16. If you look at availability, it does show 3 rooms for both Junior Suite and Park View King, but again, because the house limit is set at 2, you can only overbook by 2 rooms.
From Revenue Management > Sell Limits, you can also set sell limits in bulk by clicking the green ADD SELL LIMITS button at the top right of the screen. From here, you can select a date range for which to apply the sell limits, choose to repeat on specific days of the week, and apply for HOUSE or ROOM TYPE(S). Once you enter a LIMIT, click the ADD LIMIT button. Please note, this will override all existing house and room type limits for selected dates.
If you wish to print sell limits, simply click the blue printer button next to the ADD SELL LIMITS button. This will print sell limits for the date range selected.
You’ll also notice a ROOMS LEFT TO SELL checkbox that is selected by default. This shows your hotel’s availability alongside any sell limits set. If you deselect this checkbox, you will just see any sell limits set for your hotel.
Lastly, from the ROOM TYPE(S) dropdown, you can choose to SHOW ALL room types or select one or multiple room types as desired.
With CRS integrations, we do not support house sell limits. We are currently compatible with SiteMinder, SynXis, TravelClick, and Windsurfer. We are only supporting sell limits for room type. This means that your inventory for a CRS is going to reflect what you set at room type level only. So, in the example provided above, even though directly in the PMS this house limit of 2 is preventing you from being able to overbook the house limit at 2, with your CRS integration, we are still sending 3 rooms available for both the Junior Suite and the Park View King. So, online through your booking engine or channel manager, you’ll still have those 3 rooms available for both the Junior Suite and the Park View King. The house limit will not stop you from overbooking the hotel. It’s really important that if your CRS integration has the ability for you to set house limits there, we recommend you do set those house limits in the CRS, so you don’t get into an overbook situation, because you set your sell limits at room type level, and you didn’t realize the house limit does not interface with the CRS.
