Stayntouch Guest Mobility Check-Out Configuration

Stayntouch Guest Mobility Check-Out Configuration


To configure Stayntouch Mobility check-out settings, first navigate to Settings > Zest > Check Out. These are general settings that you'll be able to set up to see what is present on your Stayntouch Guest Mobility check-out emails.


 

GENERAL SETTINGS


Begin by setting up the time at which notifications for the emails will go to your guests. From the SEND CHECK OUT NOTIFICATION EMAIL TO ALL DUE OUT GUESTS AT section, you can select up to two times for when to send out check-out notification emails for both weekdays and weekends. Essentially, you can have two invitations for both weekdays and weekends.

 


From there, go ahead and ignore all the Zest App settings, as Stayntouch Guest Mobility is an app-less solution. All the settings you configure will only apply to the URL-based Stayntouch Guest Mobility.


 

From here, you can select whether you only want reservations that are credit card guaranteed to receive check-out emails by selecting the Only if Reservation is CC guaranteed checkbox, or if you only want reservations that are cash payment to receive check-out emails by selecting the Only if Reservation is CASH payment checkbox. You can select one or both, or leave them blank for all guests to receive check-out emails.

 


CHECK-OUT EMAIL ROOM EXCLUSION SETTINGS


You can then move down to the Exclude section. Exclusions allow you to exclude certain guests from receiving the check-out email invitation. From the EXCLUDE FOLLOWING ROOM TYPES FROM EMAIL INVITE dropdown, which will initially read as NONE SELECTED, you can select which room types you'd like to exclude. Upon clicking the dropdown, a list of available room types at the hotel will appear for you to select and exclude. Select as many room types as you would like to exclude from receiving invitations for Stayntouch Guest Mobility check-out, and once you click out, you can click the EXCLUDE ROOM TYPES button to see which room types have been excluded.


 

Please note, only room type exclusions are a part of the Stayntouch Guest Mobility check-out settings. There are no exclusions for rate code or block codes.


WEB CHECK-OUT ALERTS & OTHER SETTINGS


Moving forward, you'll notice a WEB CHECK-OUT STAFF ALERT toggle, which, when activated, will allow you to select which alerts or alert types will go to staff email addresses.



With the All selection, the email addresses indicated in the EMAIL ACCOUNTS field will receive emails based off all the activity for Stayntouch Guest Mobility check-out. 


 

With the Only when check-out is NOT successful selection, staff emails will only receive an alert when a check-out is not successful, or has failed. 


 

We suggest that you initially select All, so that you can go and change the option later when you only want to receive alerts when a check-out is not successful.

 

When entering email addresses in the EMAIL ACCOUNTS field, be sure to separate email addresses by semicolon only (no spaces).



Moving onto the right, the WEB CHECK OUT URL is a URL that you can use for guests that want to come in and put in the URL to go to the check-out experience. Alternatively, you can use it as a link on a website or an app. Simply enter unique text at the end to make the URL your own. You can use your property name, if you'd like.



From there, you can enter any EMAIL ACCOUNTS TO RECEIVE LATE CHECK OUT ALERT ONLY, which is perfect for entering your housekeeping email address, so your housekeeping team can be notified if any guest chooses to purchase a late check-out. As before, when entering multiple email addresses, be sure to separate them by semicolon only (no spaces).



Additionally, if you need to enter ROOM NUMBER VERIFICATION INSTRUCTIONS, you can enter that text in the corresponding field. These instructions will appear on the landing page when the guest selects the option to check out.



GUEST CHARGES


There are also additional options to allow your guest to add charges at the point of check-out by enabling the GUEST CHARGES toggle, or to automatically email invoices based off A/R or direct billing by enabling the A/R AUTO EMAIL INVOICE toggle. You can activate these as needed.




Remember, when completing your check-out settings, always click SAVE CHANGES to avoid losing any changes.



WHAT TO DO IF A GUEST ISN'T RECEIVING CHECK-OUT EMAILS


If a guest isn't receiving check-out emails, you can manually have them sent to the guest by selecting the blue SEND CHECK-OUT EMAIL button at the top of the Guest Check-Out Setup page. If the guest meets the required criteria, their name and email address will appear for selection on the page pictured below. Simply select their name and hit SEND WEB CHECK-OUT INVITES to trigger a check-out email.
