How to Activate ProfitSword: New Method

CUSTOM EXPORT

First, you must run a Custom Export saved as the property code for that hotel from Reports > Schedule a Report/Export > Custom Exports > Select Reservation Data. The output format for this export should be set to CSV. When scheduling this export, be sure to set the following parameters.

COMPARISON REPORT

Next, you will need to run a Comparison Report from Reports > Schedule a Report/Export > Scheduled Reports. When scheduling this report, be sure to set the following parameters.

Time Period: Yesterday
Option(s): Include ledger data
File Format: PDF

Repeats: Daily
Repeats Every: 1 Day
Starts On: Whenever you choose to start the export
Starts At: Preferably early in the morning (e.g., 6AM)

Delivery Method: SFTP Type

MARKET SEGMENT STATISTICS REPORT

Next, you will need to run a Market Segment Statistics Report from Reports > Schedule a Report/Export > Scheduled Reports. When scheduling this report, be sure to set the following parameters.

Option(s): Leave unselected
Display(s): Select All
File Format: CSV
Select the checkbox for INCLUDE CSV HEADER

Next, you will need to run an A/R Aging Report from Reports > Schedule a Report/Export > Scheduled Reports. When scheduling this report, be sure to set the following parameters.

Aging Balance: Select All
Account Name: Leave as default
Sort By: Leave as default
File Format: CSV
Select the checkbox for INCLUDE CSV HEADER

RESUBMISSION OF PAST DAYS' REPORTS/EXPORTS

Please note, all exports for prior days' data can be resubmitted if necessary. It is important that these resubmissions are always in PDF instead of CSV, regardless of the report. This does not apply to Custom Exports.

Please send manual resubmissions to the unique email address for your property, provided by ProfitSword.

CHARGE CODE DESCRIPTION LENGTH

Please also note, for the ProfitSword integration to work successfully, your charge code descriptions should not exceed a length of two lines on the Comparison Report PDF. Although Stayntouch PMS can support extended length for charge code descriptions to be compatible with external interfaces, it is recommended to follow standards that apply to the consuming integration.
