Confirmation Letter Customization
To customize your hotel's confirmation letter, first navigate to Settings > Hotel & Staff > Stationery > Confirmations/Cancellations > Guest Confirmation. This is where you can configure display settings, confirmation letter text, images, and much more.
CONFIRMATION EMAIL
From the Confirmation Email section, you can configure the following settings:
- CONFIRMATION EMAIL SUBJECT: You can enter whatever email subject you'd like in this field. If, however, you want to include the guest's confirmation number and the hotel name in the email subject, here is a commonly used subject: "Your Confirmation # %{confirmation_number} at %{hotel_name}"
- BODY: Select from the following options to include in the email body:
- Display Add-Ons
- Display Total Stay Cost
- Show Tax Breakdown
- Display Average Daily Rate
- Add Deposit Rules
- Add Cancellation Policy Description
- COPY HOTEL ON CONFIRMATION: Choose whether you want to copy the hotel on confirmation letters to guests.
CONFIRMATION LETTER
Under this section, you can enter normal text or HTML text if you want to fully customize the CONFIRMATION LETTER TEXT to your preferences. Some common styles used are listed below:
- Line Break: Use <br/> when you need to add a line break.
- Bold Text: Use <b> to bold text (e.g., <b>This is bold text.</b>).
- Italics Text: Use <i> to italicize text (e.g., <i>This is italicized text.</i>).
- Text Color: Add style="color:red;" inside the tag to change the text color (e.g., <p>Please use the following link to <span style='color:red;'>check in.</span></p>).
- Font Weight: Add style="font-weight:600;" inside the tag to change the text weight (e.g., <p>Please use the following link to <span style="font-weight:600;">check in.</span></p>).
- Font Size: Add style="font-size:14px;" inside tag to change the font size (e.g., <p> Please use the following link to <span style="font-size:14px;">check in.</span></p>).
- Line Height: Add style="line-height: 10px;" inside tag to change the line height (e.g., <p style="line-height: 10px;">Please use the following link to check in</p>
- You can also combine the styles (e.g., <span style="color:red;font-weight:600;font-size:12px;">Pre-Check-In</span>).
HOTEL
Here, you can enter instructions for GETTING TO THE HOTEL. This also supports both normal and HTML text.
LOCATION
Enter a LOCATION IMAGE, LOCATION URL, and LOCATION URL LABEL. We recommend going to this website to create a nice location image that does not include other hotels, like with Google Maps.
SETTINGS PANEL
Configure email, letter, and app/social networks settings for the confirmation email.
- EMAIL:
- Choose to SHOW HOTEL PICTURE on the confirmation email.
- Configure HOTEL LOGO settings for the confirmation email.
- Select a LOGO BACKGROUND color.
- LETTER:
- Opt to SEND CONFIRMATION LETTER.
- Toggle ON/OFF CUSTOM TEXT PER RESERVATION.
- APP & SOCIAL NETWORKS:
- Toggle ON/OFF SHOW LINKS TO DOWNLOAD APP. This will show as its own dropdown field beneath Location settings.
- Toggle ON/OF SHOW SOCIAL NETWORKS. This will show as its own dropdown field beneath Location settings.
Once all of the above settings are configured, you can trigger the confirmation email by creating a new reservation. Below are a couple sample confirmation emails.

Once all of the above settings are configured, we highly recommend creating a reservation and sending this to your own email address, so you can see what the confirmation email will look like and make adjustments from there.
