Dynamic Email Templates


Dynamic email templates give you the flexibility to configure text and color options for each of your hotel's email templates all from one place. Please note, dynamic email templates must be enabled by Stayntouch Admin, so if you do not yet have this activated for your hotel, please contact Customer Support.


Once you have dynamic email templates enabled for your hotel, navigate to Settings > Guest Mobility > Dynamic Email Templates




GENERAL EMAIL SETTINGS


The first step is to configure General Email Settings. From here, you can enter Color details and General text settings.



Within the Color details section, you can select a BACKGROUND COLOR, TEXT COLOR, BUTTON BACKGROUND, BUTTON TEXT COLOR, and BUTTON BORDER COLOR. You can either enter a specific HEX code or select a color from the dropdown color picker.



Moving onto General text settings, the first thing you'll notice is a toggle to SHOW GUEST'S LAST NAME. If toggled ON, this will show the guest's last name in the email greeting. Below that, you can choose to align the email top portion and bottom portion text. Simply select from either CENTER or LEFT aligned.


In the following fields, you can enter whatever text of your choosing:

  • HOTEL GREETINGS TEXT
  • FOOTER STARTING TEXT
  • PHONE NUMBER PRE-FIX
  • PHONE NUMBER
  • PRIVACY POLICY TEXT
  • PRIVACY POLICY LINK
  • TERMS & CONDITIONS TEXT
  • TERMS & CONDITIONS LINK
  • RIGHTS RESERVED TEXT



PRE-CHECK-IN EMAIL


If you move back to the main Email Template Settings page, you can then select Pre-Check-In Email if your hotel chooses to send pre-check-in emails. From here, you can enter text for the EMAIL SUBJECT, EMAIL TOP PORTION TEXT, EMAIL BUTTON TEXT, and EMAIL BOTTOM PORTION TEXT.



These fields support inline HTML styles and line breaks. Some common styles used are listed below:

  • Line Break: Use <br/> when you need to add a line break.
  • Bold Text: Use <b> to bold text (e.g., <b>This is bold text.</b>).
  • Italics Text: Use <i> to italicize text (e.g., <i>This is italicized text.</i>).
  • Text Color: Add style="color:red;" inside the tag to change the text color (e.g., <p>Please use the following link to <span style="color:red;">check in.</span></p>).
  • Font Weight: Add style="font-weight:600;" inside the tag to change the text weight (e.g., <p>Please use the following link to <span style="font-weight:600;">check in.</span></p>).
  • Font Size: Add style="font-size:14px;" inside tag to change the font size (e.g., <p>Please use the following link to <span style="font-size:14px;">check in.</span></p>).
  • Line Height: Add style="line-height: 10px;" inside tag to change the line height (e.g., <p style="line-height:10px;">Please use the following link to check in.</p>
  • You can also combine the styles (e.g., <span style="color:red;font-weight:600;font-size:12px;">Pre-Check-In</span>).


Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.

CHECK-IN EMAIL


Next, you can then select Check-In Email if your hotel chooses to send check-in emails. From here, you can enter text for the EMAIL SUBJECT, EMAIL TOP PORTION TEXT, EMAIL BUTTON TEXT, and EMAIL BOTTOM PORTION TEXT.



These fields also support inline HTML styles and line breaks. 


Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.

CHECK-OUT EMAIL


Next, you can then select Check-Out Email if your hotel chooses to send check-out emails. From here, you can enter text for the EMAIL SUBJECT, EMAIL TOP PORTION TEXT, EMAIL BUTTON TEXT, and EMAIL BOTTOM PORTION TEXT.



These fields also support inline HTML styles and line breaks. 


Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.

LATE CHECK-OUT EMAIL


Next, you can then select Late Check-Out Email if your hotel chooses to send late check-out emails. From here, you can enter text for the EMAIL SUBJECT, EMAIL TOP PORTION TEXT, EMAIL BUTTON TEXT, and EMAIL BOTTOM PORTION TEXT.



These fields also support inline HTML styles and line breaks. 


Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.

KEY DELIVERY COMMON


The Key Delivery Common settings are for the key delivery email, so if you're using QR - Key Delivery or Text - Key Delivery, you have one setting for both, and the values set here will apply. 


The first thing you'll notice are Room Number Settings, and this is where you can enter ROOM TEXT to display before the room number. In this example, the ROOM TEXT is "Your room number is:", and the room number will display after that.


Next, is Mobile App Settings. If SHOW MOBILE APPS is toggled ON, it will display other app icons, including Facebook, Twitter, and so forth at the bottom of the room key email.


Finally, you can toggle ON HIDE KEY ICON, which will just display the room number and not an image of the key. However, in this example, we will leave it OFF, which will show the room number and an image of the key.



Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.


TEXT - KEY DELIVERY EMAIL


Text - Key Delivery Email allows you to format and configure settings for the standard Stayntouch Guest Mobility key email. From here, you can enter text for the EMAIL SUBJECT, EMAIL TOP PORTION TEXT, and EMAIL BOTTOM PORTION TEXT.



These fields also support inline HTML styles and line breaks. 


Once you've entered the desired text, you can select the blue PREVIEW button to preview your changes. If everything looks good to go, select SAVE CHANGES and then choose the BACK button at the top of the screen to move back to the main Email Template Settings page.
