PRODUCT ENHANCEMENTS 

Update Existing Reservations Prompt Added to Group/Allotment Summary Tab


We’ve added a Rate Has Changed popup to the group/allotment Summary tab when a rate is changed from a custom rate to a configured rate or from one configured rate to another. This popup will allow you to select either APPLY TO NEW & EXISTING RESERVATIONS or APPLY TO NEW RESERVATIONS ONLY.



If you decide to update existing reservations, as well, all picked up reservations attached to the group/allotment will be changed. In-House reservations are excluded from the update reservations and therefore not updated automatically. If you choose to only use the new rate for future reservations created for the group/allotment, the rates on the existing reservations will stay as is. 

Registration Card Printing, Storage, and Archival Now Recorded in Activity Log


The Activity Log will now record the following information:

  1. When a registration card is printed

  2. When a registration card is stored to S3

  3. When a registration card is archived to Google Drive/Dropbox



This applies to the Austrian and standard registration cards.

Generate A/R Invoice Numbers From the Time a Property Is Created


Stayntouch PMS will now generate A/R invoice numbers for a property from the time it is created when the Print A/R Invoice Number setting is enabled by Stayntouch Admin. The A/R invoice number will only be visible on respective invoices and activity logs if this setting is ON.



Please note, this functionality applies to new hotels. To activate this setting for your hotel, please contact Customer Support.

Stayntouch Guest Mobility: Guest Loyalty


In Settings > Guest Mobility > Check-In, we have added a new Add Loyalty Programs section, in which you can enable an ADD LOYALTY PROGRAMS toggle.



If this is enabled, upon Stayntouch Guest Mobility check-in, guests will be able to enter a Frequent Flyer Program or Hotel Loyalty Program.



Upon selecting either of these options, guests are able to enter an existing program or enter a new one.



Stayntouch Guest Mobility/Kiosk: Hotel Information Added to Stationery


We have added a Hotel Information section from Settings > Hotel & Staff > Stationery, in which you can add COVID-19 Updates or any other hotel information to be assigned to ZEST STATION and/or ZEST WEB CHECK-IN from ASSIGN TO SECTION.



If configured for your hotel, these updates will show up on Stayntouch Guest Kiosks and/or during Stayntouch Guest Mobility check-in.

Do Not Disturb Status Added to Housekeeping Statuses


You can now set a Do Not Disturb housekeeping status if USE DO NOT DISTURB STATUS is toggled ON from Settings > Rooms > Housekeeping



If a room is set to Do Not Disturb from Housekeeping > Room Status > Select Room > WORK > ROOM STATUS, the room will appear in purple. The Do Not Disturb status is only available if the room is occupied by a guest. If the room is unoccupied, Do Not Disturb will not appear for selection.



The Do Not Disturb status is only available for the current day, and EOD will set the housekeeping status to Dirty as with other rooms. If the room is set to Do Not Disturb on the day of check-out, the check-out will change the room status to Dirty upon check-out.


The Do Not Disturb is visible on all screens where Stayntouch PMS current indicates room status.



No Service Label Added to Room Status Screen


We have added a NO SERVICE label to the Housekeeping > Room Status screen. The SERVICE toggle already exists on the Stay Card under ROOM ATTENDANCE. If SERVICE is switched OFF on the Stay Card, no housekeeping tasks will be calculated for this reservation, except the departure clean.



If the SERVICE toggle is turned OFF from the Stay Card, the following rules apply:

  • No tasks will be calculated for that room in Housekeeping > Task Management while the guest is in house (except for system-defined departure clean).

  • A NO SERVICE indicator will appear next to the guest avatar from the Housekeeping > Room Status screen where Stayntouch PMS is showing the room as occupied. The indicator is visible from both ROOM and TASK view.



  • A NO SERVICE indicator will appear next to the guest avatar from the Housekeeping > Room Status > View Room Details screen.


Auto Assign Rooms Button Added to Room Diary


To enable quicker room assignment, we’ve added an AUTO ASSIGN ROOMS button at the bottom of the UNASSIGNED RESERVATIONS list in both Day Use and Nightly modes. 



This will take into account room features and length of stay to auto assign a room. Reservations that cannot be accommodated must be manually assigned after auto assignment is complete. Upon clicking the AUTO ASSIGN ROOMS button, you will have to review the results. Please note, the following conditions apply:

  1. A room can be auto assigned to reservation only if it meets all room features specified in a reservation.

  2. Suite rooms are excluded from the auto assignment process.

  3. Hourly reservations are not included in the auto assignment process.

  4. The AUTO ASSIGN ROOMS button will not appear if there aren’t reservations in the UNASSIGNED RESERVATIONS list.

  5. You can click to the next day from the UNASSIGNED RESERVATIONS list, and if you use the AUTO ASSIGN ROOMS button, the process will run for those reservations and the selected date. After auto assignment, you will be directed to the default date in the Room Diary.

  6. Using the search field in the UNASSIGNED RESERVATIONS list will return matched reservations, and auto assignment will only be completed for matched reservations.


Upon selecting the AUTO ASSIGN ROOMS button, the following take place:

  1. Auto assigned rooms will be blacked out in the Room Diary.

  2. You can filter room types and floors you want included in the assignment process. By default, all room types and floors are selected. Both Room Type and Floors are multi-select filters.

  3. Stayntouch PMS will only assign rooms that match the selected room types/floors and will take into account guest card preferences.



When the auto assignment process starts, the Room Diary will be locked so that no changes can be made until the process finishes, and you will receive a message stating, “Room auto assignment in progress.” We’ve also added a REFRESH button to confirm the process is still ongoing. You can still leave the Room Diary screen during this time.



After auto assignment is complete, the Room Diary header will show one of the following indicators:


1. Room auto assignment failed (displayed in red): No rooms were assigned.


2. Room auto assignment completed (displayed in blue): Some rooms were assigned; however, there are still unassigned reservations.


3. Room auto assignment completed (displayed in green): All rooms were assigned. 



After auto assignment is complete, you can choose to UNLOCK DIARY and then make changes to the Room Diary. If there are unassigned reservations remaining, you will see them in the UNASSIGNED RESERVATIONS list.

Rooms Will Not Be Auto Assigned When Overlapping Reservations Exist


To avoid overlapping reservations during the auto room assignment process, Stayntouch PMS will now prevent rooms from being assigned when there are overlapping times. When there is a reservation that is due to check in after a due out reservation’s departure time, the reservation can be auto assigned, as this will not create an overlap.


Please note, you can assign a room manually if you wish; however, manual assignment will force you to adjust the arrival time of the reservation.

Occupancy & Revenue Summary Report Added to Scheduled Reports


We added the Occupancy & Revenue Summary Report to Reports > Schedule a Report/Export > Scheduled Reports. The report is available in CSV format.


Deposit Balance Summary Report Added to Scheduled Reports


We added the Deposit Balance Summary Report to Reports > Schedule a Report/Export > Scheduled Reports. The report is available in CSV format.


Deposit Balance Summary Report Now Exportable


The Deposit Balance Summary Report is now exportable in CSV format from Reports > Reports Inbox.




COUNTRY SPECIFIC REQUIREMENTS

Poland: Void Bill Has Unique Void Sequence Number


Due to legal requirements in Poland, we’ve added a new functionality in which a unique void sequence number will be generated each time a bill is voided. 



Please note, this setting must be enabled by Stayntouch Admin. To activate this functionality for your property, please contact Customer Support
