How to Link Rates to Contracts
With the original contracts design, we built in validation for rates in Hotel Admin, so that if the rate is linked to a contract, Stayntouch PMS will not allow the rates to be deactivated. Instead, the user will receive the following message in Hotel Admin:
If the opposite is considered (i.e., if a rate is active), the user will be able to link it to the contract.
However, if the rate is deactivated, it will not appear in the list of available rates when searching for rates to link to the contract.
We do, however, allow the rates to be linked even if the rate details are not 100% complete. The reason for this design is that if a contract has a rate linked, and the rate details expire, then that rate can remain linked, and the hotel can update the rate details when they have time.
The result is that when the user gets to the reservation creation process, and the rate is linked but does not have rate details, then the rate will simply show as unavailable. It will be the hotel's responsibility to make sure all contracted rates are up-to-date.
In effect, this does not prevent the user from linking an incomplete rate to a contract, and contracts can be loaded and linked with the desired rates in advance. Once the rates details are completed, the user doesn't have to go back to all the contracts to link the rates again.
