Prerequisites for Changing the Room Type for a Room


STEP 1


To change the room type for a room, the following prerequisite conditions must be met:
  • Room is vacant the night before
    • The room needs to be vacant for just one End of Day process. So for example, if a room checks out on April 12, then you will be able to change the room type on the room on April 13 after End of Day to close out April 12. 

    • If an in-house reservation from the room type is moved to another room type in order to clear out the room, the link between the room and reservation still exists until after End of Day.

  • Room has no future assigned reservations
  • Room has no current or future Out Of Order status changes.
  • Room has no future cancelled reservations assigned to it. To make sure future cancelled reservations aren’t assigned to the room, reinstate the reservation and remove the assigned room.

STEP 2


If necessary, room configuration changes should be made from in Settings > Rooms > Rooms.

You'll also need to update the room types in each rate from Settings > Rates > Channel Managers.






STEP 4


Once all conditions are met, you will be able to change the room type, after which it is recommended to execute an inventory resync both internally and with third party systems (Central Reservations Systems, Sales and Catering, and Revenue Management Systems).


To perform an inventory sync with a CRS, for example, navigate to Settings > Integrations > Central Reservation System > Select CRS and select the following:

  • INVENTORY checkbox only
  • The necessary dates only (Please note, there is a limitation on the number of days you can select for sync. This is to prevent build up off backlog in the queues due a high volume of messages.)
  • SYNC (Please note, you cannot do any sort of sync for the same dates within three hours of each other.)



NOTE: The hotel should provide the room types that are mismatched for that particular day (e.g., Stayntouch has 5 Deluxe Double Rooms vs. CRS has 7 Deluxe Double Rooms). This helps because we can do two things:

  1. We can search the messages for the inventory pushes we have sent to the CRS previously (narrow down the room type to make it easier to search), and we can pinpoint if we were always sending the correct availability for the room type(s) in question.
  2. Locating mismatched room types saves time, as chances are we are going to have to provide messages to the customer (to provide to the CRS) showing that we had been sending the inventory properly all along or that we were not.


To perform an internal inventory resync, navigate to Settings > Hotel & Staff > Tools > Balance Inventory.
