How to Extend Group Stay Dates

To extend group stay date dates, please follow the instructions below:

1. Navigate to Groups > Manage Groups > Select desired group > Change the TO date on the Summary tab.

2. Select DO NOT EXTEND RESERVATIONS when the EXTEND RESERVATIONS DEPARTING ON [DATE]? popup appears. If you select EXTEND RESERVATIONS, you will receive an error if you don't have the availability to extend all the reservations in a group. Choosing to EXTEND RESERVATIONS is at the discretion of the user; however, it will fail if there is insufficient availability to extend the block.

3. Select PROCEED when the Room Block Allocation Exceeds Room Type Availability popup appears.

5. The date has extended successfully without extending the dates on existing reservations.

Once you extend a group block, you can extend individual reservations in the group block if required.

Please note, when you extend a group and choose not to extend existing reservations, group dates will be changed accordingly and displayed in the room grid, but no rooms will be blocked automatically. You can then block the desired rooms in the room block screen. An availability check is not required in this scenario, as no rooms will be automatically added to the group.

When a group is extended, and you select EXTEND RESERVATIONS, group dates will be changed, and an availability check is required. If there is availability to extend existing reservations, group dates will be changed and additional dates added to the room block screen. Rooms blocked and picked up will reflect the number of rooms that have been extended. If, however, there is no availability to extend existing reservations, and you do not have permission to overbook, group date extension is not possible.

If there is no availability for the extension, but you have permission to overbook, the OVERBOOK popup will appear, and you will have the option to proceed or cancel the extension. If you choose to proceed, the group dates will be extended, and dates will be added to the room block. Rooms blocked and picked up will reflect the number of rooms that have been extended.

Before attempting to extend group stay dates, and room numbers are assigned to any of the reservations in the group, you should make sure those room numbers do not have the DO NOT MOVE toggle active for the dates you wish to extend the group stay, as this would prevent you from extending those reservations.
