Useful and clear performance reports

Hi guys,

I've been using your PMS for 11 months already and I am yet to find an easy way to get basic reports that display KPIs such as:

  • Room Revenue
  • Room Nights
  • ADR
And all of them breakdown by:
- Total (property level)
- Source
- Room type

We pull different reports to get the data but later we find some discrepancies between them.
i.e) As we have component rooms, one room night in a component room (made of 3 different room types) counts as 3 Room Nights instead of 1 Room Night which doesn't have any sense and impact the whole analysis.

Please go back to basics and make our analysis easier with simple dashboard/reports that display key metrics. This is the minimum we can expect from a hotel PMS software.

We do have reports that provide these KPIs - some of my favorites as a former revenue manager include:

  • Business on the Books (can be run for historical and future date ranges)
  • Market Segment Statistics (this shows source production and totals; if you run for the final day of the month and review the MTD column, I like that you can see statistics by number of stays, ALOS, room revenue vs. other revenue, etc.)
  • Daily Production Report (this shows room type production - choose the new option to "show totals" to see total month amounts when you are running for a full month date range)
  • Comparison Report (if you run for the final day of the month and review the MTD column, you can see full month data)
  • Manager Daily Report (this is more commonly used to look at current stats but if you schedule to receive it on the last day of the month you can reference the MTD column when needed)

I believe the aspect that you are looking to review differently is suite rooms. The suite room logic is built for properties that have rooms where they can or often are rented as individual rooms OR as combined suites... this is not incredibly common - most suites in hotels are simply sold as 1 suite that cannot be broken up into others. This functionality helps meet the needs of these more complex arrangements and the logic is that if you have a suite built of 3 component rooms, your ADR and occupancy stats would be skewed/confusing/hard to forecast if the system counted the suite as only 1 room night since it can be sold as either/or. For example:

  • You rent 5 individual rooms, total revenue is $500, ADR is $100
  • Let's add two 3-room suites into the mix, which are built as component rooms/suites; when sold as a suite, you rent for a higher amount since it is 3 rooms combined - perhaps $300. Total revenue with the two suites is now $1100. The system currently calculates that ADR as $1100 divided by 11 (5 rooms + 6 rooms [two 3-room suites]) rooms rented to give you an ADR of $100. This is similar to the ADR if the rooms were rented individually. If we instead counted the suite as 1 room, the ADR calculation would be $1100 divided by 7 rooms  which gives us an ADR of $157.14 - that is more than 1.5x the amount of the ADR without the suites; where calculating the two suites as 6 rooms gives us an ADR that is consistent to the amount of the ADR without the suites. This current logic means that your data is more consistent and less skewed when a suite is rented or not rented as a whole, which is intended to lead to easier forecasting as some dates it could be sold on the whole and some dates it could be sold as individual rooms. This is common / industry standard logic for component room suites.
  • If you do not rent the suite rooms as individual rooms and only as a whole and want that whole amount to apply towards your ADR, you may instead want to truly combine them all into 1 suite room / room type and not have component rooms in the mix. Our support team can assist you with this if that is something you are interested in.

I hope this helps you find some useful reporting and better explains the reasoning behind the component/suite logic. We are working on a lot of reporting enhancements right now, so hopefully you will like a lot of those too - keep an eye on the release notes!

The challenge here is that we need to pull different reports to get the numbers plus the risk of missing the reports over the last day of the month to get the MTD. Also, when running different reports, in our case, numbers don't match due to the component rooms (i.e: Revenue and ADR per room type)

You will make our lives easier if we can run a report at any time with all the metrics expected from an hotelier. Both from the Booked and Stayed perspectives.

Thank you for the additional information.

I would strongly recommend using our functionality to schedule reports to either have them deliver to an email inbox, SFTP folder, or even a cloud drive folder. That way, you never miss them and always have access to prior dates. Most reports can be run for a past date (to get MTD numbers) ad-hoc (for example - Comparison Report, Market Segment Statistics Report, Daily Production by Room Type) with the exception of a select few that are designed to show current data (i.e. Manager Daily Report, Guest Balance Report, etc.) - those can always be scheduled, however, to ensure you don't miss any days. If you need help with scheduling reports or finding the right reports to meet your needs, open a support ticket and our team will be happy to assist.

Numbers should always "match" (at least, add up to the same totals, etc.) between reports; if you have examples of where data seems incorrect, please open a support ticket - our team is available 24/7 and will be happy to review for you.

Custom Exports allow you to export data - a recent enhancement I like a lot from over the summer that you might also find helpful is that you can now run custom date ranges for all durations in custom exports.

As I mentioned in my last reply, our product team is currently working on a significant effort to enhance reporting - some has already started to be released (like the custom date range feature for example) and much will continue to be released in the next year or so. I am hopeful that anything that does not currently meet your needs will after these efforts are fully realized.

Thanks for the suggestion but still many reports to work with and play to get the data.

Ideally, we should have a dynamic dashboard in Power BI or other platform that allows you to play with the filters and get the information from one place instead of working on Excel.
