Stayntouch Guest Kiosk Setup: Part 2


This article illustrates how to configure your property's unique Stayntouch Guest Kiosk settings. This happens in Stayntouch PMS. To view Stayntouch Guest Kiosk Setup: Part 1, click here.
 

SETTINGS > KIOSK

To configure Stayntouch Guest Kiosk for your property, navigate to Settings > Kiosk in Stayntouch PMS. Upon navigating to this section, you will find a host of configuration options, which are explained below.



GENERAL


The General section controls the more generic options for your Stayntouch Guest Kiosk, including which sections are active and which functionalities are in use (i.e., key encoding, credit card capture, and multi-language support). 


Home Screen Options


The kiosk is capable of presenting the customer with five home screen icons based on your property and configuration. The three standard home screen options are Pick Up Keys, Check In, and Check Out. For these options, you can choose to activate them by selecting or deselecting the desired checkboxes.



The two non-standard options are Book Now (which requires ACTIVATE BOOKING ENGINE POP-UP activation) and Walk-In (which requires ID scanning to be active for your property). 


Active Booking Engine Pop-Up


If ACTIVATE BOOKING ENGINE POP-UP is turned ON, you can then enter your BOOKING ENGINE URL. This will add an additional icon to the home screen labeled BOOK NOW, which will take guests to the booking engine URL in a pop-up window and allow them to reserve a room at the property from the kiosk directly.



Language Support


For properties that have activated multiple languages under Settings > Kiosk > Languages, toggling ON MULTI-LANGUAGE SUPPORT allows guests to select from multiple languages on the home screen.



Chrome App ID


This section is for a specific customer and is not required for the majority of our kiosk implementations.



Station Printer Options


If your property will have printers associated with your Stayntouch Guest Kiosk, please select the AirPrint option. 



Please note, the other options available, including the USE KIOSK HANDLER toggle, are for specific customers and are not required for the majority of our kiosk implementations.


Credit Card Entry Method


Depending on your payment gateway provider, select the correct option from the list shown. 



Please note the MLI Desktop Swipe (Chrome Only) option is for a specific customer and is not required for the majority of our kiosk implementations.


Key Creation Method


For properties that do not have an integrated key system, please select Manual. For all other properties, please select Remote Encoding - Chrome or iPad - Ving, Salto, Saflok. The other two options are for a specific customer and are not required for the majority of our kiosk implementations.



Out of Order Threshold


This setting determines how many errors during check-in or check-out (key creation failure, etc.) will be accommodated before the kiosk is automatically placed out of order.



Guest ID Scan


The DURING CHECK-IN AND PICK-UP KEY - SAMSOTECH option is available for customers with a specific Samsotech integration that also have ID scanning active for their property. 



The ONE-TIME MANUAL ID VERIFICATION option allows for staff-assisted manual ID verification during check-in and/or pick-up key flow where a staff member will approve the ID using a pre-set PIN number, which will be added to their user setup. This does not require ID scanning to be active for the property, as ID will not be stored.


Offline Reconnect Settings


The Retry Connect (In Seconds) option determines the frequency with which the Stayntouch Guest Kiosk will attempt to reconnect after a communication interruption (i.e., internet outage). 



Configurable Images


In this area, your property can upload three images, namely CREATE KEY IN-PROGRESS IMAGE, KEY CONFIRMATION IMAGE, and SWIPE CC FOR PAYMENT, which will display on screen during the appropriate interaction.



CHECK-IN


The check-in section controls the flow and options available during Stayntouch Guest Kiosk check-in.


Registration Card Delivery Options

 

From the Registration Card Delivery Options section, you can configure registration card delivery settings by selecting any of the following three checkboxes:

  1. Email: This will email the guest the registration card upon Stayntouch Guest Kiosk check-in.

  2. Print: This allows you to print the registration card upon Stayntouch Guest Kiosk check-in.

  3. Auto Print: This will auto print the registration card upon Stayntouch Guest Kiosk check-in when enabled.

 


Registration Card

 

If you plan to use the registration card, you can customize it from the Registration Card section. From here, enter information in the following fields:

  • CUSTOM REGISTRATION SUBJECT

  • CUSTOM REGISTRATION CARD HEADING TEXT

  • REGISTRATION CARD TEXT: Please note, this field is HTML capable.

 

Customers without printing capabilities often choose to email the registration card. In this event, you may wish to change the registration subject and heading, as well as any text tags in the language file from “registration” to “welcome email”.

 


Offer Early Check-In

 

If you want to offer early check-in via Stayntouch Guest Kiosk, turn ON the OFFER EARLY CHECK-IN toggle. Please note, early check-in must be configured under Settings > Promos & Upsells > Upsell Early Check-In.

 


On-Screen Room Number

 

If you turn ON the ON-SCREEN ROOM NUMBER toggle, the guest's room number will display on the Stayntouch Guest Kiosk screen during check-in. If left OFF, the guest will only receive the room number on the printed or emailed registration.

 


Collect Guest Nationality

 

To collect guest nationality during Stayntouch Guest Kiosk check-in, turn ON the COLLECT GUEST NATIONALITY toggle. If you choose to turn ON this setting, you can select only one of the following checkboxes:

  • Enforce country sort order: This will enforce a specified sort order for various countries.

  • Free form country select: Countries will be displayed at random.

 


Second Authentication

 

If you choose to set up Second Authentication for Stayntouch Guest Kiosk check-in to verify the guest's identity, you can require guests to enter one or more of the following:

  • Departure Date: Guests will be required to enter their departure date.

  • Email: Guests will be required to enter their email.

  • Confirmation: Guests will be required to enter their confirmation number. This can also be an external confirmation number, as long as it is provided by the CRS.

  • Number of Nights: Guests will be required to enter the number of nights of their stay.

 


OWS Guest Messages

 

The OWS GUEST MESSAGES toggle is a feature for Stayntouch PMS Overlay customers only. If you are an Overlay customer, please contact Customer Support for more information.

 

 

Credit Card & Payment Options

 

Within the Credit Card & Payment Options section, you can turn ON any of the following toggles:

  • BYPASS CREDIT CARD FOR PREPAID RESERVATIONS: This will bypass credit card collection for prepaid reservations.

  • BYPASS SIGNATURE CAPTURE: This will bypass signature capture at check-in.

  • ONLY ALLOW CC GUARANTEED RESERVATIONS: This will only allow Stayntouch Guest Kiosk check-in for reservations that are credit card guaranteed.

  • ENFORCE DEPOSIT: This will enforce any remaining deposits to be paid prior to completing check-in. This depends on the deposit rules you have attached to your rate setup and will display additional deposit collection screens on Stayntouch Guest Kiosk.

  • BYPASS CC AUTHORIZATION (ALWAYS BYPASS CC COLLECTION): This will bypass credit card collection altogether.

 


Display Terms & Conditions

 

The DISPLAY TERMS & CONDITIONS toggle allows you to choose whether or not you would like to display your Terms & Conditions during Stayntouch Guest Kiosk check-in. This is turned ON by default. The Terms & Conditions can be configured from Settings > Hotel & Staff > Stationery > Terms & Conditions.

 


Validate First Name Initial

 

To validate the first name initial of the guest during Stayntouch Guest Kiosk check-in (in addition to other second authentication factors), turn ON the toggle for VALIDATE FIRST NAME INITIAL. This will ask the guest to enter their first name and is useful for larger properties that may experience multiple arrivals of guests with the same last name and stay pattern.

 


Add/Update Guest Details

 

If you want to collect guest address details upon Stayntouch Guest Kiosk check-in, turn ON the toggle for COLLECT GUEST ADDRESS. This will show the address on file if present, giving the guest the opportunity to update or to add a new address if not present.

 


Add Loyalty Programs

 

If you're working with any loyalty programs, you can connect those by turning ON the toggle for ADD LOYALTY PROGRAMS. Loyalty programs can be configured from Settings > Cards > Hotel Loyalty Program.

 


Scan ID to Find Reservations

 

To scan guest ID to pull up a reservation, turn ON the toggle for SCAN ID TO FIND RESERVATIONS. Please note, this is only applicable to Stayntouch Guest Kiosks with ID scan with facial recognition enabled.

 


Passport Entry Settings

 

If you wish to collect passport number during Stayntouch Guest Kiosk check-in, turn ON the toggle for COLLECT PASSPORT NUMBER. When this toggle is turned ON, you will also be given the option to turn ON a toggle to BYPASS PASSPORT ENTRY, which will allow guests to skip this step.

 


CHECK-OUT

 

The check-out section controls the flow and options available during Stayntouch Guest Kiosk check-out.

 

Keycard Lookup

 

To offer keycard lookup during Stayntouch Guest Kiosk check-out, turn ON the toggle for KEYCARD LOOKUP. Please note, this feature is only available for Stayntouch PMS Overlay customers with specific key card integrations.

 


Guest Bill Delivery Options

 

You have two options for delivering the guest bill. You can select one, both, or neither of the following:

  • Update Email: This will ask the guest to update their email address during Stayntouch Guest Kiosk check-out to ensure their bill is delivered to the correct email.

  • Print: This will print the guest bill during Stayntouch Guest Kiosk check-out when enabled.

 


Collect Balance

 

To collect any remaining balance at check-out, turn ON the COLLECT BALANCE toggle (recommended).

 

 

Guest Charges

 

To collect any last-minute incidental guest charges at check-out, turn ON the GUEST CHARGES toggle. To select the allowed guest charges at check-out, drag and drop the charges from AVAILABLE ITEMS to ALLOWED ITEMS. To configure items, navigate to Settings > Financials > Items.

 


PICK-UP KEYS


Authentication


This section is for a specific customer and is not required for the majority of our kiosk implementations.



QR Code Scanner


This section is for a specific customer and is not required for the majority of our kiosk implementations.



Registration Card Delivery Options


For customers with a printer attached to the Stayntouch Guest Kiosk, selecting Auto Print will allow for reprinting of the registration during key collection.



Authenticate Credit Card


As an additional security feature, when active during pick-up key flow, users will be required to enter the last four digits of the credit card number on the reservation, or they may enter a new card as guarantee before proceeding with key card collection.



LANGUAGES


Stayntouch Guest Kiosk supports multiple languages. To enable this multi-language functionality, a specific .JSON language file needs to be uploaded in Stayntouch PMS (this can be performed by a Stayntouch Installer, as well). Different languages will appear for selection at the bottom of the Stayntouch Guest Kiosk "home" screen (see below). Guests can choose a different language before proceeding with check-in, check-out, or key creation.

Language File Import

 

  • Here, you will need to upload a .JSON language file (if no file is present, please reach out to Customer Support). 

  • Click the desired language.

 


  • Click the ATTACH FILE button to upload the various language files you will use with Stayntouch Guest Kiosk.

    • Language files are saved as .JSON files. 

    • Each language has a unique .JSON file.

    • A Stayntouch Installer/Customer Support can provide these files.

 


Enable Language Settings

 

If you know you’d like to use multiple languages, follow the instructions below: 

  • Toggle ON MULTI-LANGUAGE SUPPORT from Settings > Kiosk > General > Language Support.

 


  • Navigate to Settings > Kiosk > Languages, select a language, and toggle ON DEFAULT LANGUAGE to make it your default language.

 


  • The default language will automatically display in Stayntouch Guest Kiosk.

  • Toggle ON the various languages you’d like to use with Stayntouch Guest Kiosk.

 


  • You may toggle ON as you'd like—as long as you have a .JSON file uploaded, as well. 

  • You’ll be able to edit the text later.

  • If you require a new .JSON file for a new language, you may repurpose an existing file by downloading from English and uploading to the new language (values will need to be updated).

 

Edit Stayntouch Guest Kiosk Text

  • As a reminder, text edits should be configured from a back office computer (don’t try to configure this in your hotel lobby). 

  • Also, Stayntouch PMS works best in the Chrome or Safari Browser (do not use Internet Explorer, Mozilla, etc.). 

  • Note: Make sure your user role/permissions are set up to allow Stayntouch Guest Kiosk access.

 

Hotkey Method

  • There are two main methods for editing text in Stayntouch Guest Kiosk.

  • This document outlines the recommended method—referred to as the "hotkey" method.

  • Log in to Stayntouch Guest Kiosk from a desktop or laptop. 

  • If you’ve been assigned Stayntouch Guest Kiosk access, you’ll immediately be taken to Stayntouch Guest Kiosk after you log in to Stayntouch PMS: https://pms.stayntouch.com/login

  • The following hotkey combination will allow you to edit text directly on the screen: Alt + e

  • Double click on the text to begin making changes. 

  • Press Alt + e again to exit text editor mode when you’re done changing text. 

 

 

  • In addition to the text edit hotkey (Alt + e), we recommend using the following:

    • Atl + d

      • Demo Mode: While performing text edits, enable demo mode to click through different screens that might be missed during a traditional check-in. 

    • Alt + c

      • No Check-In: Use Alt + c to go through the check-in flow without actually checking in the reservation (the reservation will stay due-in/arrival). 

    • Alt + j

      • Toggle Screen-Jumping: Retrieve a running list of MOST of the screens that appear in Stayntouch Guest Kiosk. Jump right to the screen you’d like to edit (see below). 

 

 

More Hotkey Combinations

 

Alt + t (Reveal Hidden Tags)

  • Sometimes it's not clear where you can add text in Stayntouch Guest Kiosk. Alt + t will reveal all the places on the page where you can add text. 

Alt + i (Diagnostics)

  • This reveals diagnostic information. This is a good way to see the timers and workstation information, and it includes the encoder information (encoder ID + encoder description), even which encoder is attached to a workstation. 

Alt + d (Demo Mode)

  • This allows a reservation to check-in, but it will bypass the credit card swipe and key encoding steps. 

Alt + c (No Check-In)

  • This will allow a user to re-use the same reservation and can be used in conjunction with demo mode, but this is also useful if testing card swiping and key encoding 

Alt + j (Screen-Jumping)

  • Toggle ON Screen-Jumping; similar to having bookmarks with a PDF doc. 

Alt + e (Editor Mode)

  • Enabling this will pause timers so the user doesn't get redirected in the middle of an edit. Click and hold on button labels to edit buttons; otherwise, just double-click a text label to edit while this mode is enabled. (Changes will be persisted immediately, but to reflect changes on other stations, refresh each station after completing all necessary text changes.)

 

In addition to the hotkey method, users can also update text by selecting the language under Settings > Kiosk > Languages. If you then click on the purple pencil icon, a list of all language tags and current text will display and be searchable.

 

Add-On Descriptions: Display in Another Language

  • When translations are configured, guests will see translated text for the add-on pop-up.

  • Translated sections include the add-ons:

    1. Name

    2. Description

    3. “Suffix”

 


Enable Translated Text: Add-Ons

 

Step 1. Verify Multiple Languages are Enabled

  • While logged in to Stayntouch PMS, navigate to Settings > Hotel & Staff > Languages

  • Toggle ON the various languages you’d like to use with Stayntouch Guest Kiosk.

  • Then toggle ON each individual language you want to use. 


 

Step 2. Translate Add-On Name & Description

  • Under Settings > Rates > Add-Ons, select a specific add-on. 

  • You can select an ADD-ON LANGUAGE here. 

  • Select a language; this will translate the name, description, and suffix of the add-on.

  • You will need to repeat this step for each add-on that needs to be translated. 

 


Step 3. Translate Amount Type/Post Type 

  • Under Settings > Promos & Upsells > Upsell Add-Ons, there is a language field in the upper right hand corner of the page. 

  • Select a language; this will translate the amount type/post type fields.

  • You will need to repeat this step for each add-on that needs to be translated. 



UPSELL ROOMS

 

Please refer to this article to learn how to activate room upsells for your property. Once you have done so, to activate room upsells for Stayntouch Guest Kiosk, turn ON the OFFER ROOM UPSELLS TO GUESTS toggle. 

 


You can also indicate the display order of room upsells in the DISPLAY THE ROOM UPSELL OFFERS BY section. The display options include the following:

  • Lower price to higher price

  • Higher price to lower price

  • Randomly

 

To set a maximum number of room upsell offers, turn ON the toggle for ENFORCE MAXIMUM NUMBER OF ROOM UPSELL OFFERS.

 


Doing so will allow you to select a MAXIMUM NUMBER OF UPSELL OFFERS as well as OFFER MIX WHEN UPSELL FROM TIER 1 TO TIER 2 AND TIER 3. Simply select a percentage for Tier 2 and Tier 3 to indicate how much of each upsell type will display.

 

If you leave the toggle OFF, Stayntouch PMS will allow room upsells according to availability.

 

Finally, you can select an upsell display style from MULTIPLE ROOM UPSELL OFFER DISPLAY STYLE. This is up to your preference.

 



 

GET MOBILE PHONE KEY EMAIL


This section is for a specific customer and is not required for the majority of our kiosk implementations.



ADD-ONS


In this section, users can indicate which pre-configured add-ons they would like to offer through Stayntouch Guest Kiosk. To do so, turn ON or OFF the toggle under the OFFER column. Please note, you must select SAVE CHANGES to confirm these add-ons will be used for Stayntouch Guest Kiosk. Only add-ons marked as Reservation Only will display in this list.



WALK-IN RESERVATIONS


This section only appears for those customers who have ID scanning with facial recognition active for their property. This will populate an additional icon on the Stayntouch Guest Kiosk home screen. Once active, complete the following:

  • Select a WALK-IN RATE CODE from the dropdown menu (mandatory).

  • Select a WALK-IN ORIGIN from the dropdown menu.

  • Select a WALK-IN SOURCE from the dropdown menu.

  • Select a WALK-IN MARKET from the dropdown menu.



Walk-In Flow


Here, the user may select between one of the following:

  • Traditional: User selects available room at given price.

  • Upsell Oriented: User selects available room at given price and is presented with upsell options.
