Stayntouch Guest Kiosk Setup: Part 1


Stayntouch Guest Kiosk is an in-hotel self-service station that allows guests to independently complete check-in, check-out, and/or create room keys (which invalidates existing keys). Please note, Steps 1 and 2 are to be completed by Stayntouch Support/Implementation staff, as they require access to Stayntouch Admin.


THE BASICS 


Step 1. Services Provided List 

  • In Stayntouch Admin, Stayntouch Admin should navigate to the property, and under SERVICES PROVIDED, select the box beside Stayntouch Guest Kiosk. 
  • Note: This controls Stayntouch Guest Kiosk settings and enables the Stayntouch Guest Kiosk module at the hotel level. When this checkbox is selected, it indicates that the property has purchased Stayntouch Guest Kiosk and that Stayntouch Guest Kiosk has been activated for the property.



Step 2. Stayntouch Guest Kiosk Templates

  • Stayntouch Admin should remain logged in.
  • Stayntouch Admin should navigate to Hotels > Hotels > Select Hotel > Theme.
  • Stayntouch Admin should make a selection from the HOTEL THEME dropdown menu to apply the custom template for the property.



  • Note: Once Stayntouch Admin has selected templates for your property, whether that be Stayntouch Guest Kiosk and/or Stayntouch Guest Mobility, these templates will then become available for configuration in Stayntouch PMS Hotel Admin. 


Step 3. Create Users 

  • Now, Hotel Admin can log into your property.
  • Navigate to Settings > Hotel & Staff > User Setup.
  • Choose + ADD NEW.
  • Fill in the required sections.
  • Under User Roles, drag and drop Zest Station to the ASSIGNED ROLES section.
    • By assigning Zest Station in this section, you are giving the user access to Stayntouch Guest Kiosk in Stayntouch PMS.
    • If the user is to be used to activate Stayntouch Guest Kiosk on a workstation, only grant the Zest Station role.
    • If the user is to be used as a Stayntouch Guest Kiosk administrator, then grant both Hotel Admin and Zest Station. This user will have the necessary permissions to set up and configure Stayntouch Guest Kiosk for the property.
  • Click SAVE CHANGES before leaving this page. 



  • Note: If the user is ONLY assigned the Zest Station role, the user will ONLY be able to use Stayntouch Guest Kiosk. The user would not be able to log into Stayntouch PMS (the ability to view the Dashboard, search for reservations, access Housekeeping, etc. will not be available to the Zest Station role).  


Step 4. Create Stayntouch Guest Kiosk Users

  • Create users with the Zest Station role assigned (as outlined in Step 3). Create as many user profiles as the number of Stayntouch Guest Kiosks you will have on property. 

  • You can give the Stayntouch Guest Kiosk users generic names, like Stayntouch Guest Kiosk 1, Stayntouch Guest Kiosk 2, Stayntouch Guest Kiosk 3, etc.

  • These credentials can be shared across your Front Desk team for them to set up and enable Stayntouch Guest Kiosk on the workstations in your lobby or to troubleshoot when needed.

  • You should ensure the Stayntouch Guest Kiosk logins are unique to each terminal.

    • For example, Stayntouch Guest Kiosk (login #1) should only be used with Stayntouch Guest Kiosk terminal #1. Stayntouch Guest Kiosk (login #2) should only be used with Stayntouch Guest Kiosk terminal #2.


Step 5. Stayntouch Guest Kiosk Access in Stayntouch PMS

  • Stay logged into Stayntouch PMS.

  • Navigate to Settings > Hotel & Staff > Permissions.

  • To access the Stayntouch Guest Kiosk page in Stayntouch PMS, you must have the permission Settings - Station assigned.

  • Drag and drop the Settings - Station permission so it appears in the Assigned Permissions column (as in the below image).  

    • Without Settings - Station assigned, you won’t be able to configure the additional Stayntouch Guest Kiosk settings in Stayntouch PMS.




  • Click SAVE CHANGES.


Step 6. Workstation Setup in Stayntouch PMS

  • When logged into Stayntouch PMS, navigate to Settings > Integrations > Utilities > Workstations.

  • Select + ADD NEW.

  • Each iPad will have its own workstation assigned to it.

  • Enter the following:

    • WORK STATION NAME

    • WORK STATION ID

    • KEY ENCODER

    • EMV TERMINAL (See note below before attempting to configure this section.)



Question: Do you need to configure an EMV terminal for Stayntouch Guest Kiosk?


No. The EMV Terminal should ONLY be configured if the property is using SixPay, MLI EMV, or SPG EMV to process credit cards. Other than that, you do not need to set up or use the EMV Terminal during workstation configuration. However, if the property will be using an EMV Terminal, you will need assistance from the property’s IT Team to acquire the Name and Terminal ID for the EMV Terminal (which is typically assigned to a chip located on the SixPay, MLI EMV, or SPG EMV device).


APP SETUP 


Step 1. App Settings

  • Download the Stayntouch: PMS & Kiosk app from the Apple App Store onto the property’s iPad (if this hasn’t been done yet).

  • Next, log into the iPad as the Stayntouch Guest Kiosk user to launch Stayntouch Guest Kiosk on the iPad.

  • If you inadvertently accessed Stayntouch PMS from a browser, please note, key cutting, credit card capture, and AirPrinting will not work, as this functionality is directly tied to the app.
  • Once you have the kiosk set up, you can also configure Guided Access, so that guest interaction with the iPad is limited. To view instructions for configuring Guided Access, see this article.



Out of Order Message

  • If you encounter an Out of Order message right away, click the lower right-hand corner of the page to open Stayntouch Guest Kiosk Admin settings.

  • The Stayntouch Guest Kiosk Administrator button is hidden and located in the lower right-hand corner of the page.

  • Click in the area indicated in the image below to reveal the Administrator page.

  • Then, log in with your Stayntouch PMS Administrator username and password.



Step 2. App Settings (Continued) 

  • You will be prompted to configure each iPad with a particular workstation.

  • Each iPad will have its own workstation assigned to it.

  • Assign the following:

    • Workstation: Select the workstation’s name.  

    • Workstation Status: The status must be In Order.

    • Station Idle Timer: It is recommended that you configure Stayntouch Guest Kiosk to enter “idle mode” after a certain period of non-use. You may choose to enable this setting so that Stayntouch Guest Kiosk logs out after a set time period.

      • Idle Screen Prompts: 120 seconds (suggested time)

      • Idle Time-Out: 60 seconds (suggested time)

    • Printer: If the property has an AirPrinter, you may select the AirPrinter from the dropdown menu. (If the property intends on using a printer with Stayntouch Guest Kiosk, the printer must be an AirPrinter.)



  • Click SAVE, before leaving this page.
