As a property manager for a multi-line hospitality brand, I want the ability to move an occupied room to a new room type for future marketing purposes, So that I can begin marketing the unit in its future configuration without interrupting current reservations.
Background / Business Context
Sentral operates across three primary lines of business:
Live: Traditional apartment leasing
30+: Furnished units requiring a minimum 30-day stay
Stay: Fully furnished units, available for short-term stays (1+ day depending on localities)
We often have owners shifting units (e.g., Unit 101) from one line of business to another. For example, a unit may move from Live to Stay, which requires reassigning it to a different room type that aligns with our booking logic and marketing platform integrations.
Current limitation: If the unit is occupied under an existing room type, we are unable to reassign it to a new room type until after the current reservation ends. This prevents us from marketing the unit in its future configuration and impairs our revenue optimization efforts.
Problem Statement
Due to system constraints in Stayntouch:
Units with active reservations cannot be reassigned to a different room type.
As a result, these rooms cannot be marketed in their future business line (e.g., “Stay”) until after they are vacated.
This delays our ability to capture early interest and bookings, impacting revenue and occupancy planning.
Proposed Enhancement
We request the ability to:
Reassign a Room to a New Room Type Even if Currently Occupied
The existing reservation continues to follow the original room type logic (e.g., pricing, services).
The room is concurrently assigned to the new room type for all future availability and marketing purposes.
(Optional but Recommended): Set a “Go Live” Date for New Room Type
Upon reassignment, designate a Go Live Date for the new room type.
The system should:
Begin marketing the room under the new room type immediately.
Block reservations from being made until the Go Live Date is reached.
This allows for marketing runway while preventing overbooking or logic conflicts.
Acceptance Criteria
Scenario 1: Move Room with Active Reservation
Given: A room (e.g., 101) is currently assigned to Room Type A with an active reservation.
When: The room is reassigned to Room Type B.
Then:
The active reservation remains under Room Type A and is not affected.
The room becomes available for marketing under Room Type B (depending on Go Live logic).
Scenario 2: Go Live Date Implementation (Optional)
Given: The room has been reassigned to Room Type B with a Go Live Date of 5/1.
Then:
Room 101 appears in the Room Type B availability and marketing feeds.
Bookings for Room Type B can only begin on or after 5/1.
If no Go Live Date is provided, the default behavior allows marketing and bookings based on existing availability logic.
Benefits
Enables seamless transitions across lines of business.
Improves marketing lead time and booking opportunity.
Reduces manual intervention and system workarounds.
