Using Gift Certificates in Stayntouch PMS

 

In order to use gift certificates in Stayntouch PMS, you must first create a new payment type for Gift Certificate in Settings > Financials > Payment Methods > + ADD NEW. Once toggled ON, Gift Certificate will be the payment type used to record when gift certificates are redeemed.



Once you've enabled gift certificate payments for your hotel, you can then navigate to Front Desk > Journal > REVENUE to view any GIFT CERTIFICATE charges. You will also be able to view reference numbers, so long as they were added at the time of posting.




Before you can post a gift certificate charge, there are two charge codes that are required to be created from Settings > Financials > Charge Codes:

  1. Gift Certificate: Used for purchase
  2. Gift Certificate Redeem: Used for payment.





Gift certificates can be posted to a reservation or to an account, and that purchase will first be paid with cash or credit card by the guest. Once the guest is ready to use the gift certificate, a front desk agent will post a payment using the Gift Certificate Redeem payment type. This will post as a payment credit to their reservation. When posting a charge, simply search for the gift certificate charge code you entered in Settings > Financials > Charge Codes. You can then enter the gift certificate number in the REFERENCE & DESCRIPTION field for later use.




You can purchase a gift certificate of any denomination using any method of payment (i.e., cash, credit, etc.). 



You can redeem the gift certificate by using the payment type Gift Certificate to settle charges on your invoice. In the example below, we linked the charge code for GIFT CERTIFICATE REDEEM to the payment type Gift Certificate.



GIFT CERTIFICATE REDEEM is now reflected on your invoice as a payment for the charges incurred.
